Dear Post-Graduate Students, Mature Students, Erasmus Students, and
Staff,
As you may be aware, the Hetherington Research Club encountered some
difficulties earlier in the year that resulted in it’s closure. Since
that time, a new Committee has been elected in order to put
forward a
case to enable it to reopen. They quickly identified that a failure of
leadership and direction over the medium term caused the club to drift
away from its core values.
The new Committee has been charged with addressing these failings.
We hope that the new Club can become more than a place to simply eat
lunch periodically, but instead become a cornerstone for the students
and staff of the University of Glasgow. We have a unique membership
and they deserve a unique service which only we can provide. By taking
the Club beyond a simple Social space and developing our provision of
specialist Welfare provision, and facilitating Academic collaboration,
we hope that the Club can re-establish itself as an active and vibrant
community.
Whether or not you have used the Club in the past we, the Committee,
would
love to hear your views on its improvement. The management of
th University has been a great support to us thus far, however they
are understandably cautious. Only by your input can we ensure that
there is provable demand for the reopening of the Club on campus.
To do this we have arrange a consultation with both our already
existing membership, and those who are eligible for membership. The
details of this event are below…
HETHERINGTON RESEARCH CLUB CONSULTATION MEETING
THURSDAY 15th April
Boyd Orr Building
Lecture Theatre C
7pm-9pm
There will be a panel of the Committee and Executive presenting on
the
future of the club, and inviting questions on our ideas.
To produce our business plan we have divided responsibility into four
key
sub committees.
The discussion topics for the meeting, divided into the key areas, are
as
follows:
COMMUNITY
Responsibilities
- Ensuring the Constitution is a living document through coherent
democratic procedures.
- Fostering a distinct sense of community amongst the membership.
- To facilitate the development of Glasgow University Staff and
Students
through a range of activities.
Current Key Goals
- Consultation with membership in redrafting the Constitution to fit
the
Community's needs.
- Support the work of the Committee of Management by ensuring the
community
is central to their work.
- Preparing a Committee of Management structure for the future.
- Working alongside the Events & Publicity Sub-Committee, to support
other
University organisations (e.g. the SRC) in developing welfare
services beneficial to
the membership.
CORE BUSINESS
Responsibilities:
- Oversight of the catering & bars functions in order to support the
promotion of the club as a key facilitator of academic social
networking.
- Oversight of the operational framework of the catering
and bar
functions, and their interaction with other facets of the
club's
operation.
- To provide guidance such that the club's
provision of these services
is managed efficiently and complies with
all relevant legislation.
Current Key Goals
- Review scope & content of service provision.
- Provide accurate
costings to Finance sub-com for purposes of
financial projection.
(Provide costings to other sub-coms as
required.)
- Creation of
operational framework including revised staff
structure. End point
of this will be the creation of physical
operational standards
handbook/guide/collection of documents,
including financial controls
(latter in discussion with finance sub-
com)
FINANCE
Responsibilities
- The finance subcommittee is responsible for reviewing and providing
guidance for the club's financial matters, in particular, ensuring
robust
financial controls are in place, an independent audit is
carried out
annually and that sufficient relevant analyses are
available to the club.
Current Key Goals
- To have accounting systems in place in order to ensure that
financial
decision making is relevant, timely and adequate. Correct
costings are in
place to enable target margins to be achieved.
Detailed variance analysis is
carried out to identify discrepancies
between actual and budget financial
information.
EVENTS AND PUBLICITY
Responsibilities
- To recognise gaps in provision, and to develop, organise and run
events
that fill these gaps on behalf of the membership.
- To interact with membership and outside parties concerning their
interest
in staging events at the HRC. To produce standard systems
and documentation
for the processes of creating, costing, reviewing
and booking events.
- To publicise all events widely and consistently.
Current Key Goals
- To create a 'core' schedule of events, managed by the HRC, which
will give
weekly consistency to the social structure of the club,
covering social,
entertainment, and academic needs. A principle aim
is to promote the HRC as
an integral component and enabler within the
GU Research Community. These
provisionally include: A Quiz Night,
'Work in Progress' events, and a club
night.
- To produce a range of advertising materials for distribution to
academic
departments, in order to display the range of services
offered by the HRC.
To produce provisional standard costings of such
events.
