One important post we will need to fill is the General Managers.. I
don't know if the club has a job description for this role but I've
found one for a similar job that we can base the new one on.

JOB DESCRIPTION – Venues and Entertainments Manager

Job Title: Venues and Entertainments Manager

Location: UCA Students’ Union. Falkner Road, Farnham.

Hours: Whatever may be necessary to complete the job but no less than
37 hours per week exclusive of breaks.

Responsible to: Chief Executive

Responsible for: Venues and Entertainments, Bar Supervisor, Student
Bar staff, Student Crew, Minibus Drivers, Box Office staff and
Cloakroom staff.

Salary: £22,000 - £25,000

Holiday Entitlement: Negotiable (up to 35 days expected to be taken
out of term time where possible)

JOB PURPOSE


The role of the Venues and Entertainments Manager multi faceted. You
will be pivotal to the organisation as the member of staff responsible
for driving up our licensed trade surpluses to subsidise wider UCA
Students’ Union activities.

You will be responsible for the upkeep and maintenance of the Venue
itself liaising with the University and external bodies as necessary,
the entertainments package for both Farnham and Epsom campuses, the
bar/club facility from stock ordering and pricing through to customer
service training and much more besides.

You will be expected to have experience in this field and be
proficient at devising, revising and maintaining budgets following
rigorous financial procedures at all times. You will be expected to
work the hours necessary to fulfil the duties as outlined to an
acceptable standard as judged by the Chief Executive and sabbatical
officers. Understanding and acceptance of the sovereignty of and
working with student officers is essential.

In carrying out this role, the Venues and Entertainments Manager will
be expected to portray a positive image of the Students’ Union and
will exude high standards of professionalism at all times.

KEY RESPONSIBILITIES


VENUES RESPONSIBLITIES


• Ensure that the Students’ Union complies with all statutory
legislation, both national and local, in order to maintain our status
as a properly constituted Members Only Club as per the Club Rules and
the licensing regulations as may be amended from time to time. Upon
any change to licenses you will fulfil all necessary responsibilities
associated with them.

• Hold the appropriate licences as part of the Union Bars Committee to
allow for the proper and legitimate functioning of the venues at both
Epsom and Farnham campuses and act as the Designated Premises
Supervisor at both venues if applicable.

• You will be responsible for ensuring our licenses are in order at
all times and anything relating thereto whether held in your name or
otherwise.

• Review Club Rules as necessary in accordance with government
legislation.

• Draft an operating schedule in accordance with local government
guidelines.

• Make effective use of legal representation and other appropriate
agencies to ensure the professional and legal operation of our bars
and venues at both Epsom and Farnham campuses.

• Ensure a safe environment for members and staff alike at all times.

• Ensure all Union staff and contracted security are aware of Fire and
Evacuation Procedures.

• Implement and maintain suitable written and practical procedures to
ensure full compliance with Health & Safety Policies and Procedures.

• Implement and maintain suitable procedures for use of the CCTV
system, liaising with the police as and when required.

• Liaise at all times with the Estates Department of the University
and keep them informed of proposed works in the refectory/Students’
Union area prior to commencement of such works.

• Ensure that the refectory / Students’ Union area is left fit for
purpose for use by the University after every event.

• Responsible for the purchase, correct installation and maintenance
of all Union sound, lighting and other equipment relating to
entertainment. Arrange and contract for its timely repair and
maintenance as necessary within repair and renewals budget.

• Ensure that all fixtures, fittings and equipment belonging to the
Students’ Union, are kept in good repair and to a safe standard.

• Employ and train a team of staff to ensure a practicable rota.

• Ensure the weekly time sheets are correctly completed and signed off
each Monday before handing to the Financial Manager for the payroll.

• Ensure the security of venues, staff and customers in all designated
areas during opening times.

• Work closely with our contracted security firm, establishing a clear
written system for logging, reporting and dealing with all night-time
incidents.

• Proactively engage with all external bodies from the residents
association, the Police and Fire authority through to suppliers to
ensure UCASU is a valued part of the surrounding community rather than
a hindrance to and is held in high esteem with all key partners.


ENTERTAINMENTS AND EVENTS RESPONSIBILITIES

• Plan, implement and control a varied, comprehensive and financially
viable entertainments programme for our members.

• Maintain awareness of trends and developments in the music and
entertainment industry and cater for the broad spectrum of students’
needs and tastes.

• The proposed entertainments programme each term should be presented
fully costed to the Executive committee to ensure that ethical and
appropriate criteria are met as well as budgets met and suitable
entertainments are being utilised. The Representation Committee or
relevant officers will have the final say over what is implemented.

• Liaise with performers, agencies and external promoters to
investigate availability, suitability and cost of acts and be
responsible for the negotiation and booking of all artists, acts and
DJ’s. Ensure that all subsequent contractual liabilities are met.

• All events must comply with current Health and Safety legislation.

• Prepare written Risk Assessments for all events.

• Responsible for organising, set-up, running and clearing up of an
event.

• Advise and assist the sabbatical officers on all matters regarding
entertainments provision for the students at the Epsom campus.


BARS RESPONSIBILITIES

• Ensure compliance with the NUSSL trading agreement.

• Establish system for regular ordering and controlled delivery of all
stock at both campuses.

• Ensure both bars at Epsom and Farnham are opened and closed every
day in accordance with the licensed operating hours. Compliance with
all legal requirements of operating licensed premises and advise
sabbatical officers accordingly.

• Maintain appropriate stock levels and rotation

• Be present at monthly stock-takes. Furnish stock-taker with all
records of ullage, wastage, staff drinks, Ents.riders, etc. each
month.

• Investigate any losses on monthly stock report and implement strict
internal controls in order to minimise and account for any deficit.

• Implement an effective regime for the regular cleaning and
maintenance
of all bar and cellar equipment at both campuses.

• Ensure that all equipment is maintained and is in working order.

• Calculate in-house promotions in conjunction with the Finance
Manager.

• Ensure all staff comply with current Health & Safety legislation.

• Be responsible for the training and appraisal of all staff members
as well as drawing up rotas for work and signing of hours worked.

FINANCIAL RESPONSIBILITIES

• Responsible for drawing up annual budgets and quarterly forecasts
for all entertainments and bar income and expenditure. These reports
to be submitted to the Finance Manager to coincide with University
requirements from time to time.

• Responsible for raising of purchase orders with regard to
entertainments and bar expenditure. Ensure that all purchase orders
have been correctly authorised and that the yellow copy is passed to
the Finance Manager prior to the order being placed with the supplier.

• In order to avoid potential tax liabilities in the event of any
overseas/ international acts being contracted to perform at the Union
then this must be clearly indicated on the purchase order prior to the
contract being signed.

• Ensure cashing up is completed each night and daily takings
reconciled to till receipts.

• Responsible for the security of all monies from commercial
operations including operating floats.

• Work closely with the Finance Manager to ensure strict financial
controls, accountability and administration of commercial services’
finances and records.

• Responsible for the sale and distribution of tickets, collection and
cashing up of all door monies.

• Produce function budget sheets for each event.

• Ensure all suppliers’ contractual obligations are met.

MISCELLANEOUS

• You will be expected to fulfil any other duties deemed appropriate
to this post as directed by your line manager over and above what is
contained in this document.

That would be Ace, We need a GM with experience in a venue that has a bar, does catering, and pulls off events, but is also used to dealing with students.
