Hello everyone,

We mentioned at the last meeting that each subcommittee wished to meet
the membership in order to develop products and get input on the
changes and structures we are planning for the club.

It was suggested that we could call a meeting, with each sub-committee
chair present, and hold a panel session, with 20mins on each topic, in
order to get some feedback.

We'd have to be quite strict (ie. people come along with ideas rather
than recriminations), but it would be really useful in order to get
some people along on a one-off basis. We could put together an Agenda
of questions, in order to get people coming along with ideas/
contradictions. Facebook discussions and web-surveys don't have quite
the use-value I might have hoped for.

How do you think we should do this? Simple Facebook event and hope
people turn up?

Hi Tom

Well, I would suggest that you announce it on the "Save the" FB page.
However, it would be good if you could also advertise it more widely.
For example:

1. You have access to the membership list. Is it possible to email
everyone on that?

2. You could try to get permission to use the "class@" email. That
way you could email all PGs. I realise many are not members, but all
are potential members.

3. You could consider emailing all Uni staff, for the same reason as
2.

Just a few ideas.

I'd imagine these are the main routes to go down? Personally I can't think of any other methods of advertising/ I'll ask one of my dept. Secretaries about permissions.

Here is a draft email:

SUBJECT: The Hetherington Research Club - Reformation and Consultation - WHERE at WHEN

Dear Colleague,

many of you will have been members of the Hetherington Research Club, and if you are a Post-graduate student, Mature Student, International Student or Member of Staff you are still eligible to be. The new committee, elected on 10th March, have been working committed in order to get the club back up and running. To do this we need the goodwill, help and support of our membership.

As part of the process of rebuilding we need a viable business plan. A plan that reflects the needs and wants of the membership. We will be holding a consultation session in order to meet potential members on X at X.

Responsibilities for the plan have been divided into five key areas:

1. Finance Committee | Chaired by M.McDonald
2. Core Business Committee | Chaired by S.Thomas
3. Community Committee | Chaired by M.Comerford
4. Operations Committee | Possibly Chaired by E.Boyle *?
5. Events and Publicity Committee | Chaired by T.Coles

Some of the key areas we have found for reconstruction and development are: (to be filled in, Tom)

[3x Club-wide suggestions
[3x Finance suggestions
[3x Core Business suggestions
[3x Community suggestions
[3x Operations suggestions
[3x Events suggestions

Each sub-committee Chair will give a 5 minute presentation of their work so far, then invite suggestions and comments from the audience. If you have detailed suggestions please submit them in advance.

Hi Tom

Just one point about the content of the email. International students
are not eligible for membership (I've just checked the constitution).
We've always allowed exchange students to join - I assume that is what
you mean? JYA and Socrates/Erasumus tend to be slightly older than
first year undergrads (i.e. they are basically mature students).

David Newall can give permission for you to get access to the matric/
staff numbers of members who had their cards scanned (I've already put
out feelers for you and know who to tell you to contact about this,
but they want his say so first).

I'm pretty sure the Faculty Office would be able to help you send to
class@ I've always found ours to be very helpful (I'm in Arts).

They may not be explicitly mentioned but I do recall that it says something about other membership being at the discretion of the committee. S if the CoM wants them to be members they can.

Don't have constitution in front of me to double check this though.

Tom, let's not forget that non-CoM members are welcome at both the sub-
committee meetings and the full CoM meetings (unless confidential
details have to be discussed of course). I'm wondering what such an
extra consultation would bring us?

I think what your proposing would be of use, but perhaps it is a
little early for such a large activity? People only have a finite
amount of time after all and if you invite everyone to such a
consultation they might expect us to be in the final stretch of such a
plan.

Oh, and we do have access to our membership list - such as it is -
worry not.

Not that I hate international students, but I have to correct you.
This can only be done by a General Meeting. I have a copy of the
current constitution - it's also on the website.

Omar is referring to current practice. At some point in the HRC's
history is was clearly decided that International Students COULD join
and they have been allowed to do so. Whether or not this was
Constitutional or necessarily a good or bad thing is, naturally, open
to debate.
