We cannot have every week an executive meeting to be held at HERITAGE-X, it can be conducted once in a month, or at the most bi-monthly, unless it is mandatory/urgently required in between.
As discussed in the last meeting, we can have a Managing Committee meeting, (any time as convenient to majority of the Committee members) and discuss the points indicated by you in your msg. Draft a msg./letter to all the residents for a General Body meeting. We have to calculate the probable estimate for each project and come to a conclusion the total expenses and then decide how much we have to collect from each flat owner. These details need not be circulated to the flat owners in the circular for the general body meeting. The agenda of the general Body meeting can be circulated, but these can be discussed in the General Body Meeting and decided upon. Once the General Body Meeting decides on the issues discussed, we should send a circular to all the flat owners of the outcome of the general body decision.

Reg. any member writing on the notice board asking for the expenditure, if he/she writes with his address, any one including the President/Gen.Secretary/Joint Secretary or any Committee Member can inform him that he/she can ask his owner to checkup on this from the Managing Committee of the Association, we would provide those details to him, not to write on the notice board. The tenants have no right to ask any expenditure details or write any anything they think in the notice board, to be politely advised to him/her, we are bound by the flat owners, not to the Tenants..
Registration of Society, even this also to be debated in the Committee Meeting, as it is a policy decision. Any work allocated to any member (like you), can be brought to the notice of the General Secretary/Joint Secretary and they should be presenting the details to the meeting, discuss and approve it, then only the expenditure to be incurred, may 15K, 22K or anything, as this is a major financial matter involved. Like the tenant asked, any owner of the flat can ask this question, whether this was approved by the Association Managing Committee. It is the collective responsibility/accountability of the Association on all this kind of work. No one even in the Managing Committee member should not say I do not know, we have not approved it.
Mr.Chandra Shekar, I think we should work collectively and systematically in a disciplined way step by step, otherwise, it would be a mess later on and the Association would not work. I appreciate your zeal of extending support and keep it up, but let the responsible people in their position the association act.
