Good morning,

My husband looked at this last night and felt I needed to put a little more emphasis on the orphanage. As such, I rewrote the third paragraph. Please note the attached letter (version 2) with the latest changes. Thanks!

Thanks Debby for assisting in the development of the letter.
 
Even though it's on the flier, I would suggest adding a line in the letter that drop-off locations have been established around the metropolitan area. Also, keep in mind that we want to stress that this is an opportunity for this community to get involved on a local level. I have already communicated that verbally but it brings the point home by having it in the letter. If I'm correct in the approach here, I think what we want is more than just coverage of a story, we're looking for involvement.

Thanks Tina. I actually tried to use the theme of the flier by creating a makeshift letterhead (until something more formal can be established). Creating the letter on letterhead will give us credibility as an organization. I didn’t list a phone number because I didn’t know what number to use. However, a number should be added before the letter goes out. I thought I emphasized community donations in the third paragraph, but in accordance with your comments, I added …”we need your help and the help of generous people in our local communities. Adding the line that drop-off locations have been established around the metropolitan area is a good point, but we’re going to need to add the addresses as well. In order to streamline the process, perhaps, a copy of the flier should be enclosed with the letter. Before enclosing the flier w/the letter, I would suggest changing the first bullet to “Haitian-Americans” operating under……. In any event, feel free to make changes directly to the letter. In closing, here’s another copy of the letter with the community information added. Thanks! J

I'm in agreement with all your points. While Stephanie and I were on the phone, I had emailed her a copy of the revised flier to give her further details. For formality purposes, a flier will accompany the letter when it is sent. Once it has been approved, we can use this same letter to forward to the other media outlets.
