Subject: [HELPDESK-L] Alert - Students in Fall 2014 Canvas Classes

All,

We have been having questions recently concerning viewing students in Canvas classes from Fall 2014.  The instructor wants to check information for them but is unable to see the students in the class Gradebook.

Please review Scott’s email below for the information about why this is happening and what we need to do to get the students visible to the instructor again:

We need to delete students after the course is over because Canvas retains read-only access to courses after they are over and we do not want that at K-State.  As in Classic, we want their access cut off after the course ends.  With Canvas, the only option to do that was to delete the students.

Canvas has added a feature to resolve this so the good news is it turns out we only had to do that for one term, Fall 2014.  So the fix is easy.  I or Hongfu can restore the enrollments in a few moments and then we send people this email:

Sample email:

For Fall 2014, we removed all students enrollments to work around a security issue that has since been resolved. So fortunately a situation like this will not happen in the future. I have restored your enrollments (21 students were added back in a completed state - let me know if you expected a different number) and have included the steps to access this information in Canvas. Sorry for the inconvenience.

So to review this info in your course you need to:

-Unhide concluded enrollments in the gradebook by clicking the gear icon and choosing "Show concluded enrollments" option.

-Once you have done this, you can click on the student's name to enter their individual student grade view. In this view you can click on any assignment and view or download the student's submission and details.

Please let us know if you have any questions or concerns.

So when receive a call about this situation, just create a ServiceNow incident, include the appropriate information about the class, students, etc…, and assign it to OME.  Scott or Hongfu will take care of the issue and email the customer.

Please ask if you would like clarification for this.  Thanks.
