Dear all,
It is my hope that you are all doing very well and preparing well for the polio campaign. The following are the updates regarding the preparations for the September 21-25 polio vaccination campaign
a)Number of Polio Cases
The current number of confirmed polio cases is 14 with the latest case having date of onset on 14th July 2013
b)Launch of the Campaign
This round’s campaign launch will be done on Saturday 21st September in Nairobi. The chief guest will be the Principal Secretary Prof Fred Segor.
c) Trainings
It is my hope that all the districts have conducted training of vaccinators and volunteers since we have already shared all the materials with them. For those that have not trained yet we request them to urgently do so and can liaise with our supervisors who have already left for the field. The only addition in the tally sheet for this round was Guinea worm surveillance which will be done in Turkana, West Pokot and Trans nzoia counties only. Guinea worm cards were dispatched together with the other tools.
d) Vaccines and other logistics
We dispatched vaccines to the regional depots last week and I hope that all districts have collected them. Turkana Vaccines arrived yesterday and the final batch was sent today via fly540. Monitoring tools, IEC materials and indelible markers were carried on Wednesday by the national supervisors and they should have arrived in most districts. Unfortunately I have been informed that the printer forgot to pack the summary sheets. Am therefore requesting the districts to print one summary sheet and photocopy enough for all the teams since one team only requires 5 leaves for the whole campaign. This should not cost more than Ksh 1000 per district.
e)Finger marking
Finger marking for this campaign will be done on the left little finger. The mark should cover the nail as well as part of the skin for verification during independent monitoring
f)Target children
For the whole of Garissa County (including the Dadaab refugee camps) and Habaswein district in Wajir County we shall vaccinate everyone including the adults. For all other counties the target will be children under 5 years.
g)House Marking
This will vary. For all districts doing the campaign for the third time this year, the houses will be marked as R3. For other districts that have conducted the campaign before this year please mark accordingly as R4 or R5
h)Radio Announcements, TV Adverts and Newspaper Adverts
The national level is making arrangements for radio announcements using all local radio stations in all areas that will be covered by the campaign. These radio spots will start today Thursday although some stations have already started running the adverts. Some of the radio stations to look out for include KBC (Swahili, Turkana, Borana, Luo, Luhya), Star FM,WEST FM, Kaya FM, Milele FM, Classic FM, Ghetto FM, Radio Citizen and Kass FM.
We shall also be making TV adverts on Citizen and NTV so please watch out for the adverts
i)Funding
Funding should be available today in all provincial accounts and I therefore request the PDPHS to quickly send the funds to the districts via the quickest means. Most provinces have confirmed that they have received all the funds
j) National Supervisors
All national supervisors have been dispatched to the field – some left on Wednesday and a few left today Thursday. The county supervisors should also move to the field to assist the districts.
k) Monitoring of the campaign
We have already shared with all districts the folder containing the September campaign materials. This folder contains an updated version of the ‘14_Kenya Electronic District Daily Tool for SNIDs Monitoring’. Districts should therefore use this and not the August version as Guinea worm variable has been added.
Once the districts have filled the tool on a daily basis, they should share the file with the County Data Manager who will upload data into the online google drive. The data can also be uploaded by the Provincial Data Manager. In case any county has not received the shared google file from Kolongei please contact him on the address below:

Steps
1. Open google email if you already don’t have one. Can use county name to open e.g

2.Share your gmail account with Titus Kolongei by sending him an email on

3. Kolongei will then share with you the online tool which you can access in your gmail account
4. Once Kolongei shares with you the tool, you will receive an email on your gmail account informing you about the tool that has been shared with you
5. You can now access the tool by clicking on the link that will be provided. You can also access it by: (Click on DRIVE>then Click on SHARED WITH ME and the electronic tool will open. You can then select the districts in your County/Province and enter the data. As you enter the data it saves automatically.
Any county that finds this complicated can liase with the Provincial Data Manager who can be uploading data for them as most of them may have used this method.
l) Pilot Tool for micro-planning for November and December NIDs
As you may be aware, we are planning to conduct countrywide campaigns in Nov and December. We expect to do bottom-up micro planning for these campaigns. In August we had shared a tool for micro planning which most districts found very complicated to fill. We therefore shared a simplified version in excel with only 12 sheets. We have selected a number of districts for piloting of this tool with a view to simplifying it further before the actual trainings start.
The selected districts include Garissa, Fafi (National supervisor Kolongei), Lamu East (National supervisor Yusuf Ajack), Turkana North (National supervisor Lydia Kirika), Keiyo South (National supervisor Juliet Muigai), Bondo (National supervisor Florence Akinyi), Bungoma South (National supervisor Collins Tabu), Moyale(National supervisor Dr Mutie), Dagoretti and Starehe(National supervisor Caroline Maina). I am requesting these national supervisors to assist these selected districts fill these micro plan during the campaign or during the 2 days of independent monitoring and come back with the filled microplans that will assist us in finalizing the final tool. A district can decide to fill just one division if there is no time. m) Identification badges – We have sent enough identification badges for all teams and supervisors. We request all districts to collect them after the campaign and keep them safely in the store for use in the next campaign as we shall not supply others.
