Dear Staff,

Congratulations on all your hard work these past months!  HCGHR is going to change leadership at the end of this semester and the new Editorial Board would take the helm starting next semester when we come back from winter break.  
All editorial board positions are up for grabs, and we encourage any member in good standing to run for a position. 

Elections will be held on Sunday, December 9, from 3:00-4:00 PM. 

All members must attend elections if at all possible. If you will not be able to attend, please notify your section editor ASAP. 

We will run elections for each position from top down order (i.e. starting with Editors-in-Chief down to Section Editors).  For each round, the candidates will give very brief speeches (no more than 2 min) and then answer questions from the group for 1 - 2 min.  When everyone marks their top choice on a ballot, the senior editors will take the ballots outside, quickly count them, and return to share the results.

If you are interested in running, you should know that you can run for as many positions as you wish.  What that means is that you can put your name on the ballot for all positions and start by giving a speech for the highest position on election day.  If you win that round, your name will be crossed off on the ballots for the other positions you wanted to run for.  If you do not win, you will just speak again in the round for the next position you run for.  You do not have to run for every position! If you are only interested in being Interviews & Experts Editor, for instance, it is totally fine to only run for that. 

Anyone who wants to run must submit a statement of intent (no more than 250 words) about their experience and why they want to run (for each position, if you are running for more than one) by noon on Friday, December 7. See below for a list of available board positions. Submissions should be sent via email to hcghr...@gmail.com

Board positions include: 
  • Editors-in-Chief (2)--Certain responsibilities to be assigned to only one of the two office bearers
    • Ultimately responsible for proper running of HCGHR
    • Overall coordination of activities--this includes sharing Managing Editor responsibilities on an ad hoc basis
    • Interface with editors and staff to ensure proper functioning
    • Handles and expands upon relations with all advisers--graduate and expert, and alumni board
    • Responsible for publicizing HCGHR among students, faculty and experts on and beyond campus
    • Plays prominent role in determining feature topic, general shape of forthcoming issue
    • Updates and modernizes website
    • Works towards the following goals:
      • To make HCGHR a renowned, wide-reaching publication across the United States
      • To use the magazine and website to help students at Harvard learn more about global health--including current events on campus and beyond, career opportunities, graduate programs etc.
  • Managing Editors (2)--Certain responsibilities to be assigned to one of the two office bearers
    • Lend support to section editors to ensure staff meet deadlines, by way of: editing, communicating with writers, finding supplementary materials, etc.
    • Partake in the effort to recruit more staff members (writers and designers), by way of: arrangingHCGHR participation in activities and design fairs at the beginning of the semester, looking into free trainings for learning InDesign on campus, etc.
    • Oversee the budget: track expenses and income, report on budget weekly at editorial board meetings, apply for grants, coordinate ad sales, etc. 
    • Send communications from the editorial board to the staff and update the staff email list
    • Coordinate distribution within the university, including dorms, dining halls, and libraries
    • Take minutes at weekly editorial board and staff meetings
    • Communicate with the graduate advisers and facilitate pairings between grad advisers and writers; send grad board consolidated weekly minutes from editorial board and staff meetings
    • Update the website with relevant global health events
  • Features Section Editor (1)
    • Contribute ideas for the selection of the Features topic to the editorial, graduate, and faculty/expert boards
    • Provide the boards with possible story ideas and, based on their input, make the final decision on which articles will be chosen
    • Guide staff writers in the article writing process and enforce deadlines
    • Assist writers in planning interviews or finding additional resources, if necessary, including connecting the writer with his/her grad board adviser
    • Thoroughly edit each article until publishable (either for the printed edition or the web)
    • Provide additional graphics or photos to the design team during the layout process, if necessary
    • Edit each article again after it has been placed into the final layout
  • Panorama Section Editor (1)
    • Work with the Features Section Editor to ensure that both the Panorama and Features sections cover the broadest range of topics within each issue and volume, avoiding any topical overlap
    • Provide the editorial, graduate, and faculty/expert boards with possible story ideas and, based on their input, make the final decision on which articles will be chosen
    • Guide staff writers in the article writing process and enforcing deadlines
    • Assist writers in planning interviews or finding additional resources, if necessary, including connecting the writer with his/her grad board adviser
    • Thoroughly edit each article until publishable (either for the printed edition or the web)
    • Provide additional graphics or photos to the design team during the layout process, if necessary
    • Edit each article again after it has been placed into the final layout
  • Experts and Interviews Section Editor (1)
    • Find 3 separate expert contributions and 3 separate expert interviews for each issue
    • Ensure no more than 1 of each (submissions and interviews) is from a Harvard affiliate
    • Maintain a staff of 3 interviewers and arrange regular group meetings as well as individual meetings with each to go over interviewing tips and prep them for their interviews
    • Edit the expert contributions and interviews as per HCGHR copy style (see HCGHR Writer's Guide for official copy style)
    • Draft a biannual newsletter for the HCGHR mailing list, detailing the upcoming Features topic, exciting articles to be published, any committed interviews, news and updates, etc.
    • Oversee e-mailings of the newsletter and mailings of printed issues to current and previous HCGHRexpert contributions/interviewees
  • Student Submissions Section Editor (1)
    • Act as representative of the HCGHR among the Harvard student body in an efficient, timely, and respectful manner
    • Select well-written submissions for publication in print and online, and communicate with the authors throughout the course of the semester to edit the articles as needed
    • Assist the student authors with choosing the appropriate photos and graphics for their respective articles as well as composing a short bio and photo of the author to be included with their piece
    • Courteously and promptly announce students whose pieces have not been chosen that they may re-submit them for consideration during the next cycle
    • Compile a database of photos and graphics which the HCGHR can freely utilize in future issues, taking care to avoid copyright infringement
  • Online Content Editor (2)
    • Communicate and meet with the online staff columnists and keep track of deadlines for postings to the website
    • Oversee partnership and dialogue between columnists and corresponding graduate advisers
    • Edit and revise all materials submitted by online columnists to be posted, in a timely manner
    • Become familiar with procedure for posting content to the HCGHR website

Dear staff, 

This is a reminder that HCGHR board elections will be held today from 3-4 PM in the Eliot T-2 Classroom (in the basement of A entryway, turn right). 

All staff members must attend elections. In addition, there is a potential that some of board positions will still be open after we have gone through the process - in this case, any of the members present at the meeting will be allowed to run for the position at that time.
