SGM date

We have had a couple of queries as to why the SGM date has been set down for January.

There were three main reasons.

The first is that the committee had already resolved a few months back to hold an SGM.
This is so that members can ratify the changes required under the new Incorporated Societies Act
2022 and set the club up for re-registration in October 2023 as required by the new Act.

The committee also felt that having members “sign-off” on some job descriptions for our office
holders would help ensure we comply with the formal governing requirements under the Act.

The new Act requires there to be at least three members, all of whom must give their consent to be
on the committee and this must be formally recorded.

The second reason for the January date is to allow time for members to consider and submit the
resolutions they would like voted on at the SGM.

A number of members have suggested that the committee is in disarray and because of this are
calling for a vote of no-confidence in the chair.

As can be seen above, the committee is not in disarray and currently complies with all of our
obligations in terms under the Incorporated Societies Act.

The committee felt that the SGM should coincide with a Thursday club night and, as we have in the
past, be held just prior to the music commencing.

October club night falls before the required 15 day notice period for an SGM and two present
committee members were not available for an SGM in November. With Christmas club night being
traditionally our end of year Christmas party that left January as the first available date for an SGM.

The final reason is that the committee is working on behalf of members to organise next years
“Bluestock”.

We have been working with a professional promoter with the idea of making Bluestock a
professionally run annual event and with a budget of around $100,000. This will be a carnival type
event (a club run bar, stalls and entertainment, etc) and we are aiming to have at least 500 attendees
in the first year and growing this over following years to festival size numbers.

As Treasurer, I currently have three funding applications before various Trusts. Hopefully will bring
in even more funding into the club for Bluestock.

The first of these grants was approved late last week to assist with promoting Bluestock in the
Waikato.

As you will no doubt appreciate, Bluestock requires a lot of planning and organising and this is taking
up your committee’s time at present.

We could really do with some new committee members or some eager volunteers!.
