Dear Colleagues,

Here is an update on MHMH... it has been launched and the 1st phase has already been put in action. The outflow is expected to be about Rs 6,500 per hostel from the respective Hostel's HATS funds. Of this Rs. 5,000 is for the winning wing of the hostel to be spent for the betterment of the wing/hostel. The remaining Rs, 1,500 is for operational expenses.

Going forward we hope to increase the scope of MHMH further as we gain more experience.

warm regards, deepak

Hello folks:

After a lot of thoughts, discussions and deliberations, the MHMH program is now officially launched!

We all knew that this would not be an easy program.  If it was easy, it would have launched four years ago.  But thanks to the groundwork done by Vishwas, the new HaTs secretary Ajinkya has been able to grab the baton on the fly and has been able to run to the finish line.  (I am thinking about my Inter-IIT relay tourneys).

There were two major issues in formalizing MHMH: 1) The judging criteria, so that no hostel feels that they are penalized for things beyond their control, and 2) Motivating students to take up the challenge.

The list of judging criteria is quite exhaustive, yet objective.  It has two major categories - cleanliness and maintenance.  Cleanliness includes all parts of the hostel - from the bathroom walls to the bicycle stand.  The maintenance category includes everything from common washers to the working toilet flushes.  The checklist has ~30 items, yet the audit is envisaged to take ~5 minutes per wing.

All issues are related to maintenance and cleanliness.  The students register complaints in a system called CMS (Complaint Management system).  They are resolved by three supporting offices - PHO (Public Health Office), EMU (Electrical Maintenance Unit)  and EA(Estate Office).  One major issue is that the mean time between resolutions is very long.  To raise awareness and hopefully increase responsiveness, the students plan to extract data from CMS and make a hostel-wise weekly summary report and distribute it widely.

To determine intra-hostel winners, each hostel would hold two inspections during September, followed by a pre-inspection warmup-session round.  The winning wing of each hostel would be given a reward of Rs. 5000 with the caveat that the money can only be used for betterment of the wing or hostel.

Inter-hostel inspections will be held during October in which the top 2 wings from each hostel would compete and the winner would be announced by October end.   The winning hostel will be given the MHMH trophy, hopefully on Alumni day in December.

After fine-tuning, the “improved version” would be launched in the second semester.  It is envisaged to make MHMH as part of the GC tournament which would give MHMH program a life of its own.

Team,

Do we have an agreement on priorities of funding from alumni or do we need more data before we decide?  My opinion, to reiterate, is -

  1. Alumni should partially or fully fund the basketball court.
  2. Hostel should buy the dryers with their own money.  Strings also hostel decision/responsibility.
  3. Whiteboards in the room - also hostel's own decision and responsibility
The ordering reflects my opinion on the order of priority.

On #1, we need to get more quotes and push for discounts etc, and Anshul was to check the balance in the H7 HATS account to make sure there's enough money in the kitty.

What other data do we need to make these decisions and move on them?
