Hi everyone,

This is  Archit Laddha, G.Sec Hostel 7, pursuing B. Tech in civil engineering welcomes you all on behalf of new H-7 council. Hostel life is going good here and weather also quite beautiful this time of year. We have hostel secretaries election coming up next Sunday. Lots of stuff is going on including placement and preparations for competitive exams. I hope you all are healthy and happy.

We had a conference call yesterday with Hemant, Anshul and Kumar Vora. Some of the much needed projects discussed yesterday are as follow.These have been put in priority as per the discussion.

(1) White Board: idea is to have a white board in all hostel rooms which will help students in preparations for placements, internships and competitive exams. This also saves some paper. This is also useful for academic purposes.  
Size: 1.5ft x 2ft. 
Quantity: 260
Rate per board: 350 INR
Estimate: 91000 INR

(2) Cloth Dryer: Proposed by Hemant sir on his last visit to hostel to have cloth dryer in each block so that inmates don't need to hang clothes outside in wings. This will enhance ambience of wings, a goal alumni tried to achieve through MAKE HOSTEL MY HOME. We also discussed to have one stretchable string in room and plan to remove the hanging ropes from wings. Cost of Dryer: 18600 INR
Quantity: 3
Estimate: 55800 + 9000( for strings) INR
   
(3) Badminton Court: In rainy season we don't have any outdoor game to play due to mud all around and after rainy season also lot of people play Badminton and we don't have nice place to play except the clayey field with pebbles and small stones. Many injuries were reported in past. So we decided to have a cemented court for badminton.
Size: 14m x 7m 
Rough Estimate: 225000 INR (not in written)

We have funds for either (1) & (2) both or for (3). These three projects are equally important and need to be completed as soon as possible. So we are seeking alumni help in either (1) & (2) or (3). 

P.S. We have quotation with us and I'm attaching those with this mail. These may not be the best quotes as they are collected just for rough estimation. We'll collect the best quotes just before purchase.

hello all,
Couldn't join the hangout but gone through Archit's mail and in my opinion hostel really needs all the above mention projects.I too felt need of these things during my recent concluded tenure.

Happy to help, but not sure what we want to inform alumni about.  That these projects are being proposed?  That these are all approved? Which ones funded by alumni?  That we are asking for contributions?

Archit - What is the status of the board?  If it is still not done for H7, can you talk to Vishwas and get it done for H7 on priority basis.

  • My next preference would be to fund the dryers.  Again, durable stuff that will be used for a long time to come.  I would not fund strings - that seems like a waste of money to me.  They will get lost and forgotten.  People can easily buy their own strings, it's not an expensive item by any stretch.
    ​ Kumar​ - Dryers is very important because of the MHMH program, and it will reduce the clothes hanging in rooms and the corridors.  Timing wise, it should happen immediately.   I vote for Dryers - "No strings attached".  Archit - What are your thoughts on upkeep and maintenance of dryers?  Would all students operate it themselves (convenience vs. mis operation), or would some one assigned to operate it (costs money)  There are pros and cons on both options, but should be thought through.
 
There is value about  strings (hotel bathroom style), though.  After playing sports. students return with sweaty shorts and shirts, It may not be enough to use the dryer.  They can quickly pull the strings and throw the shorts/shirts on the strings.   When there are no clotehs, the strings are retracted and they go out of the way.  Rather than funding for all rooms, I suggest, we give them the top one, two or three wings that win the MHMH every semester.  This also will be a good enticement to put their heart into MHMH. Funds can come from HATS or from hostel.

  • My last preference would be the white boards.  Another item that will be easy to damage / misplace / lose over time.  For everything they are saying about white boards, I think the utility value is going to be limited because everyone will have their own style of how they choose to study - white board or paper etc.  If we choose to fund this project, I would not just buy the boards, but see if they can be installed on the wall in each room such that they are not easy to remove etc.  Which then begs the question -- where exactly would you install two boards in that tiny room?  Everyone will want the rooms configured slightly differently etc.

    I am in agreement that there might be limited utility.  But again, there is not much cost to try in a few wings.  So how about giving this one also to the winners of MHMH?
There are some very cool magnetic glass boards (wall mounted).  I had found a vendor in India that sells them.  I'll look again and let you know.  Don't recall the cost, but I remember them not being too costly.  We have two big ones in my office in Berlin and they are amazing  ​- 
So cool. This would be great for MHMH winners. 

Whatever we decide to fund, they need to get more quotes and look for some bulk discounts etc.  Perhaps work with Damayanti on all the logistics to get proper process / support.  Does this decision need any ratification / support from any of the other HATS functionaries outside of H7?

Great - let's get everyone's opinions, of course.
  • I was not aware of the HATS board in each hostel.  Makes sense to add these projects to that board, assuming it's in place.  Forget the plaque. :)

  • We two seem to agree that badminton court is top priority.  Let's see what others think.

  • Dryers - I am in favor as well, but if it comes to spending priorities, I'd make it #2, that's all.  Might be a moot point anyway - if alumni fund the badminton court, then the hostel has enough funds to buy the dryers themselves.
    • I now know what strings are being talked about - the retractable ones.  Didn't know that before.  I still wouldn't do it - those things are ultimately flimsy and break extremely easily in my experience.  Those things are really not designed for daily use.
    • Are the washing machines coin operated or free?  Driers should follow the same model -- would be a good idea to charge a nominal fee for use to fund future maintenance / upkeep?

  • White boards - It's not a matter of giving to some as reward, or how expensive each board is.  I fundamentally don't think that this is the best idea of the lot.  Too unwieldy, IMO.  I would vote to pass on this one... hostel can choose to do it themselves, of course, since they seem to have enough funds for this one.

As far as priority is concerned. . I think we need to look at how much funds we have left.. what all projects we need to take care of before the funds run out (donations by alumni for any specific cause). The badminton court would cost us around 25% of the remaining funds.

Which also begs the question of whether we make another round of requests for donation?..

    These are made of some kind of glass.. that means heavy and brittle. I would pass on these and stick to the traditional white boards, if at all.

    I think the white board would become just a notes keeper.. I personally would not stand and solve equations and so on.

    I would vote #1 for the badminton court with some kind of AMC in place (hopefully it will last a good 7-8 years before any major maintenance)

    Hostel can purchase and maintain the dryers and the retractable strings.

    Let's save the white board idea for the winners of the MHMH competition.

    Hello All,

    Quite inspired to see the enthusiasm among you all to make hostel better and best. 

    I had a discussion with hostel warden and Gopi uncle yesterday. They also suggest that it's better if alumni fund Badminton court due to several reasons:
    (1) It's long lasting. People of upcoming classes can use and come to know about the contribution from alumni.
    (2) We also go through the budget from institute and find that we have no category under which we can make demand for funds from institute for Badminton court, instead we have consumables category for white board and equipment category for cloth dryer.


    Our PHO staff will do the cleaning (maintenance) of Badminton court including scrubbing and we also have Annual Maintenance Contract (AMC) of badminton court from contractor itself of 5-7 years (not sure about no. of years) for any civil damage.

    @Hemant Sir,(1) I'll contact Vishwas today only and get done the HATS board in our hostel asap.
    (2) Upkeep and maintenance of Dryers is done by an agency as we have Annual Maintenance Contract (AMC) of all the equipment we bought. 
    (3) Dryers are easy to use. Purposefully we choose a dryer that doesn't have much options, only timer. We also have laminated instruction paper on top of dryer to facilitate the use    
    @Kumar Sir, Machines are free to use and same for dryers. We charge 100 INR from each student per month for maintenance & upkeep and other hostel activities.
