Hey guys-

I just created a google group that will allow us to manage the emails
of GVLL volunteers easily. Anyone can email the group by using this
group. Please let me know if you're aware of someone that did not get
added.

Just a quick follow up to the last meeting:

ANDY: What is the status of the clinic? Is MSU hosting? Do we have dates?

KARLA: Waiting to hear back from Randy Russel about the field
confirmation. Tried to reserve M/W 5:30-8, June, July, and first week
of August. Actual practice times are 6-7:30. Can you check with your
kids about the PSA recording?

LESLIE: Working on the registration packet. Please send a draft to
the group so we can all review and get them approved and printed by
the public meeting (April 7).

ROBYN: Will help distribute fliers

KATIE STEVENSON: Can you create the fliers advertising the upcoming
season? Also, the excel doc of schools and other places where we will
post fliers. Colleen will get you last years list. Also, can you
research races that we might be able to set up a recruiting booth?
Can you get the online world rolling, too (not facebook).

COLLEEN: Can you send Katie Stephenson (katie.st...@gmail.com)
last years flier and the list of places we came up with last year to
post flyers? We need to get a PSA recorded and distributed. We want
some of the players to record. Laura & Karla will be in touch.

KATIE EBERT: Heading up the coordination of scheduling games with other schools

LINDSAY: Helping Katie coordinate scheduling games

BONNIE: Can you forward Katie Ebert and Lindsay (emails in the lax
email address book) all the emails from other teams looking to play
us?

LAURA: Will get a hotel booked if we have a game long distance and
need lodging. Ask kids if they can do a PSA.

TAYLOR: Contact Amanda Maynard (amay...@kbzk.com) about getting
another interview. Get lax stuff posted on montana grapevine PBS.
Contact gym teachers.

BEN: Are you still up for helping with fundraising?

PAUL: Can you follow up with your contacts about getting a US Lacrosse grant?

A FEW OTHER POINTS:
-We need to figure out if GVLL will pay for coaches' membership to US
Lacrosse so coaches can take the coach training.
-We need to decide on dates on the T&C bagging fundraiser. 4th of July
sounded like a good date.
-We need a volunteer to take on the facebook management. This would
involve posting regularly (several times a week)
-We need to get Matt at Play it again to announce the public meeting
-WE NEED TO PUBLICIZE THE PUBLIC MEETING!

We need to meet again probably before the public meeting. Either that
or get our game faces on and prepare without meeting. It is next
wednesday! Should we consider pushing it back?

Thanks Taylor!  I'll try to have the fliers and excel doc done by the public meeting so we can all help distribute around town.  

I'm also happy to lend a hand with facebook management until we have someone who wants to take it over.  I can update the info asap....but we currently have two pages....anyone know which one we want to go with?  I probably also need to be added as an administrator on the page.

I know I offered to help and then life took over.  It would still be great to be involved and something like updating the Facebook page would be easy.  You can count me in if you still need someone.

Attached are the registration packet materials. Not sure of the exact dates
you want listed for the season.

I also included the PDFs from 2008 - the first page is a copy of the flyer
info that we had sent out. Used a similar flyer in 2009. I don't have the
original copies - so I can't make changes to it. Just sending it as an FYI.

Also, as for the PSA, we can just submit text to KGLT and they'll announce
it for us. That's probably the way we need to go for the public meeting
because it is so close.

Who else reads PSA's for non profits?

Also, Scott, were you able to get in touch with Play it Again? Did I miss

Hi Taylor, 

I'll forward you the psa that Jim wrote.  The teacher that was going to help me with this at the high school, has been out of school since Monday, so today I was able to leave a message with the gal at GapWest who will help us with the psa.  I will submit a written text( more cut and dry) to kGLT and to Bozeman's Talk radio KBOZ  tonight when I get home. The script that Jim wrote, I'm hoping to get recorded either today or tomorrow,  there were several kids interested in helping us record it, but I may just have to grab my three Hecklings  once I talk to Aaron if she can do it tonight right after school.  Then we'll have it in MP3 format and can just email it to radio stations.

The Hawk Tv for boys aired last friday for a plug for GVLL and the plug for girls Lacrosse and GVLL was filmed today and will air next Friday.  Thanks for everything- Laura

Field Confirmation: I've been following up with the high school to
get confirmation, but am told Randy Russell still hasn't done
anything on it. After he was gone for three weeks, they said he was
catching up on more important things this week, in order to be out of
the office again for a few days, so I still don't have a
confirmation. I'm frustrated, but apparently he is the only person
that can sign off on it, so I'm trying to be patient. I'll let you
know as soon as it goes through.

you have to stay on Randy, he will push us off until he firms things up with soccer, they come first:(( and he often forgets us and the papers end up in a pile on someones desk.  it happens every year.  I thought he was done at bozeman high!
wow great list Taylor.....

KGLT doesn't play psa's during fund drive, just a heads up their fund drive starts tomorrow and goes for 2 weeks.  But all radio stations run psa's for non profits, you just can't pick the time is all they fit them in where needed. 

  Has anyone heard about clinic dates yet?  We really cant print much of anything except the public meeting until we have dates, including the registration form.  If MSU isn't interested in doing the clinic don't you think we have enough coaches to put it on ourselves?  we just need a field, can we use the high school??  It would bring in some money if we are allowed to charge (most fields have regulations about that)   I think it's still fine to go with the April 7th date even if we dont have all our dates finalized, I thought I heard some hesitation in your email Taylor.  

And just to give my 2 cents worth on the coaches membership, I think we should be looking into this, if we cant pay for the entire membership maybe half.  they are all supposed to have it anyway and I would really like to see some kind of training take place, for now this might be the easiest way.   

Amber said kids are talking about it in school, wish we could air some of this in the Belgrade and middle schools.  do we want a special flyer for the April 7th meeting to go to these schools???  It would be nice to reach kids outside bozeman high.

Sounds like Laura and Jim are all over the PSA.  Thanks to you both.  Holler at the group if you need help with anything.

 

ANDY- what’s the word on the clinics?

 

Colleen, do you think you could call Andy about the clinic dates? Haven’t been able to get him.

 

The fee for US Lacrosse membership is $50.  I think it would be really nice if GVLL covered this for coaches.  None of the coaches would choose to be members if GVLL didn’t require it (judging from past year coach membership) and we’re just getting volunteers to help coach.  I would find it challenging to ask coaches to pay to help the program.  I could be swayed, but if we’ve got the money for it, it would be nice to offer that.  Maybe we could cut back on what’s paid to coaches over the summer if that would make a difference.

 

April 7 it is.  Katie Stevenson has been posting it online, which is great.  Thanks Katie!  I submitted it to PBS, but you need a month in advance to advertise with them, so who knows if it’ll go up.  I’d say we all try and meet before the meeting to get caught up on things. Say 6 at the library?

Hello everyone!

Sorry to miss the last meeting.  An unexpected work conflict emerged that night for me.

I'm very interested in helping with the high school lax classes.  Who should I contact at Bozeman and Belgrade?

I won't be able to make the April 7th meeting, but please count me in as a girls coach this summer.  It's already added to my work calendar.  I do agree with Taylor's comments below about GVLL covering the US Lacrosse membership.

Maybe Colleen can answer this:

I think it would be nice for GVLL to own some extra gear for kids of lesser means to use over the summer, and then return.  I know a few richer towns (Stowe VT and Jackson Hole) have gotten US Lacrosse grants for such things.

I would be happy to approach US Lax about this.  It seems to me that, over the years, US Lax has gotten like 10-12grand in registration fees from GVLL and we have not got much in return.

So, my question is....have we gotten anything from them other than magazines and insurance?   If so, what?  And, who was the contact person for GVLL and who was it for US Lax? 

I'd be happy to make a pitch to US lax but think it is important to make sure there isn't someone else already doing so, and to make sure that, if there is already a contact at US lax that we continue to use that person (if they have been helpful).

Colleen?  What do you know?

Gap Broadcasting will air a generic version of a PSA immediately to all of their stations
 
Gap Broadcasting will record the scripted version of the PSA which is meant for 2 boys and a girl.  Anyone who would like to do this is welcome to contact me.  If no one contacts me it will default to Sam, Andy and Ceely Heck.  Recording date is Monday, April 5 at 12:15.
 
Once the recorded version is done I will also send it to EAGLE radio.
 
Hawk Talk is getting ready to do a big article on GVLL  Thanks Colleen and Karla for pictures.  This will come out in a couple of weeks.  They have a list of all the high schoolers at BHS who play and will be contacting them as they see fit.
 
Tim Dumas at the Bozeman Chonicle is interested in doing an article, he doesn't know when.  He will put a PSA in the sports section to run Mon-Tues and Wed. 
 
OK, I think that's it.  Once we get on the Activity Page on the Bozeman Schools Webpage ( I'm waiting on pdf flyer), then I can send out announcements to be read for the end of the day on the intercom at SAC,  CJMS and BHS.  But that has to be approved which it would be once it's on the webpage. 
 
FUNDRAISING:  I turned in a sheet for May1st and June 5 for Bagging for Tips at Town and Country.  Those dates are not confirmed - they will contact me within the next two weeks, but hopefully everyone can pencil it into your callendar.  Usually clubs bag from 11:00 - 5:00 .

we don't have a specific contact person with US Lacrosse, we have talked with a couple people about registration.  They are pretty good about getting back to us although not always  I am still waiting on info about the online coaches training.
We do have equipment that we lend out every year for those less fortunate.  It would be great to have someone (maybe you would be able to take this up) do an inventory of what we have and create a check out sheet, maybe an exel sheet, just to keep track of it all.   Hopefully we will be able to come across a trailer to keep everything in because for now it is all over the place.
we can always use more equipment so pursuing some kind of grant would be great.
We have not gotten much more than magazines and insurance from us lacrosse although one year in the beginning they came out and did a couple clinics with the kids.
let me know what you come up with and i think Andy had most of the extra gear if you wanted to start with that.

My thoughts are that we need to have a small & simple equipment swap.  If we let as many parties as possible know when (with no charge the first year or maybe $2 to $5 for GVLC) and where, then we are sure to come up with lots of very cheap to possibly free stuff for all who might need it. And the organization should realize a few bucks too or have some equipment for future use.  Might want to combine it with another already scheduled event.
