It’s attached – it has all the columns showing.  I’ll bring coach copies this evening with the info that they need – jersey number, player name, age, emergency contact, doctor and clothing size.

 

Anything else the coaches need? 

 

Note we have 2 boys without USLacrosse numbers – I have contacted their parents.  Haven’t received the info yet though.

Hello GVLL

As I'm reading the projected forecast for this week, I think we should set up a system for notifying players and parents and coaches when practice is canceled.  Some questions to consider: 1) who makes the call?, 2) what time should be the latest to cancel practice? (for example, an hour prior, so 5 p.m.?), 3) are parents/players/coaches notified by email or phone or both?

I can send an email to everyone but generally we call practice at the field.  Most times we just need to wait 15 minutes and it clears.  Bozeman weather as we all know changes so fast it is almost impossible to call a practice earlier than it's scheduled time.  take last week, it looked so grim, pouring rain, we were going to call but ended up waiting it out for 15 minutes at the field then had a full practice. 
 
Taylor found some program that you can pay to use but it would take someone to enter all the phone numbers in.
 
I would like to see Taylor and Ben making the call together.

I agree as far as time goes.  We’ll probably make the wrong call if it needs to be done at 5pm.

 

There’s a program called “call ‘em all” that Ben has used in the past.  You upload numbers from an excel sheet.  It would be simple to set up, but could be $ depending on how much we need to use it.  It basically sends out a text or voice message to all the numbers on the list. 

 

I’ll make the call with Ben to cancel if need be.  Rain is fine by me, but lightning isn’t.

I don't mind calling people if we do know ahead of time.  There is always the phone tree. 

I forgot to mention that Maya is out of town until next week Wednesday.

To avoid the hassle of calling every players' parent, let's establish a policy that practice will be called for weather by the head coaches (or a coach they designate if they are absent) at the field.  We'll wait no more than 15 minutes past 6 to make a determination.  We can write up a little flyer to hand out to parents explaining this policy (I don't mind making copies).  That way everyone knows they should show up at six even if it's fowl weather.  We'll also encourage the parents to make sure their kids have appropriate rain gear, because we'll be playing in the rain unless there is lightning. 

I could draft something up along these lines.  I just want to make sure all parents understand how canceled practices will be handled.

I will include this in my email this afternoon, it was already a part of my draft.  It's something I usually send out every year, so go ahead with flyers if you want but it will also be sent to them in an email.  I have just been a bit busy with everything else, but finally  have an email list put together.
And just a heads up for everyone, we have no board yet, I guess I am the only member, I am looking for someone to take over the treasurer position for next year (the only current position filled). I was hoping to have some people involved with the league and shadow this year as board members but it doesn't look like that will happen.  I am truely worried about the league next year.  So please everyone, put your feelers out for board members and let's try to keep GVLL going!

I think Jim Heck would make a great President.  And Laura Heck would be awesome as well if they’re both willing to jump in with official roles.  Bonnie mentioned that her husband might be interested in getting involved as a board member.  And what about Kevin McGlynn.  He’s coaching this year, but he seems like a responsible guy.
