GSoC/ErlEf/Groups/Mentors roles and responsibilities

hi,

I'm part of the Riak Core Lite project for the GSoC and I would like to have a clearer idea of the roles, responsibilities and scope of each of us related to the GSoC project.

I think it may be useful to share it here for others to contribute or get more clarity in case they have the same doubts as I do :)

Is there somebody assigned as the main contact point between ErlEf and GSoC?

I think Google will have a single point of contact and expect fast replies, in case there's someone assigned, who is it?

In case it's only one person, it would be better to have some fault tolerance and have some backup contacts.

Is somebody enforcing this timeline? https://developers.google.com/open-source/gsoc/timeline

Or each group should handle them by themselves?

What's the role of the ErlEf and what of each group?

Will the ErlEf receive the money transfers from google?

Is there a defined use for the mentor money that google grants? (if not it could be used to pay for the mentor summit expenses)

Is there a limit to how many slots will the organization get?

Is there a limit per project?

Those are all the questions I have (for now :D)

The administrators are Benoit and myself, so we will be the one enforcing the timelines, working between Google and mentors/projects, and taking care of our responsibilities.

The EEF works as an umbrella organization. Basically we are doing the administration job so projects can focus on mentoring. Mentors work with students and once proposals are sent, the best proposals are selected. We will tell Google how many slots we want to mentor and, in my experience, Google typically assigns the number we ask for. The whole process can be read on the GSoC website.

Students are paid directly by Google. The EEF will receive the mentor stipends, since Google does not pay mentors directly. We haven't discussed what will happen then. We need to verify if we can forward them to mentors and if that's the case, we need to make it clear before mentorship starts.

In my experience as admin in the previous years there is no need for a meeting. The most important is for mentors to work with students over the next 2 weeks. Usually by the first week of April, mentors already have it pretty clear which proposals they want to mentor and which ones they do not. We will be glad to provide assistance on evaluating proposals if anyone requests. We will probably request an official answer from each project on their favorite proposals by April 8-9th.

To summarize my understanding, as groups/mentors our responsibilities would be to assist students with questions specific to each project and later evaluate the submission once google sends them to us?

The rest will be handled at the EEF level?

Yes, if you follow the GSoC page you originally linked the roles are:

1. Admins -> EEF

2. Mentors -> You and other maintainers of the projects listed in the wiki

3. Students -> Students :)
