Hi All,

I've been doing my best to find rates for various places around the
cities. So far I've gotten some quotes from the Hilton, the UofM
Continuing Ed building, and the UofM Campus Club. Chad got a quote
from the Depot in St Paul as well.

The best one so far seems to be the Campus Club. The prices of the
rooms are low and the food and drink minimum is only $650. Food and
drink would probably end up being significantly more than that though,
assuming we have lunch. The big downside is that the big room is only
available on weekends, so a weekday schedule would be out. The

It says 5 hours max, but I asked about the whole day and the fees are
only marginally higher.

The CE building was on the cheaper side ~6K per day including lunch.
5K if we make people pay their own parking. I'm not as thrilled about
the space though, but you be the judge:

The depot had a minimum food & beverage fee of 6K and fairly cheap
room rental, but we don't have details on equipment rental etc.
Either way, that seems pretty high for just food.

The Hilton seems bad so far. They have crazy fees for every bit of
equipment and wireless internet. Aside from that the room rates &
food were similar to the others. I am trying to follow up on a group
rate for internet since that was such a huge fee.

I have contacted the Hyatt as well and expect info from them
tomorrow. Their internet & equipment fees seemed more sane, but I
don't know about room rental etc yet.

I contacted the U conference and event services directly. They gave
me the CE building. If there are other spaces that they have that
you're interested in, let me know, and I can follow up on that.

Please let me know what you think about the options so far. If you
have other venues that you'd like me to look into or if you've found
out some info yourself, please post.

I intended to look into a few options now that I am back. Is there a
criteria checklist of some sort that can be used so that we can make
sure we are asking all the right questions and comparing apples to
apples?

I will call the Marriott, Radisson, Millenium and Sheraton (all
downtown Minneapolis). We should probably consider some of the hotels
in the suburbs, as well. Oftentimes when I see an infomercial
promoting some traveling presentation of a scam (get rich quick!),
they seem to be located in hotels outside the center cities.
Bloomington would be an obvious choice, but it seems Eagan and Eden
Prairie often come up in these commercials.

Another possibility might be some of the various community centers
that act as convention facilities. I can't think of anything off the
top of my head, unless the Earle Brown center is one of those. There
have been several things hosted there. Also, doesn't Bandana Square
have a lot of space? Perhaps even the fairgrounds?

I've spoken with people at Holiday Inn (35W & 94th South) and Radisson
(downtown) today. Of course, everything is tentative until we can get
more firm with things like total attendees, number of breakout rooms,
number of out town guests that will be taking rooms, etc. The other
hotels have yet to get back to me.

Holiday Inn
- Newly refurbished, has a pool, rides to/from airport, and shuttle to
MOA (which puts people on the light rail)
- If we have a luncheon for 90+ people (I've been using 90 to 200 as
our range), the main room is free, breakout rooms would be 100 for a
half day and 150 for a full day.
- Continental breakfast (if we choose to have): 8.99 / person
- Lunch ranges a lot depending on what we offer: single plates (no
main course choice, anyway) ranges from 12.99 to 19.99, buffet from
13.99 to 29.99 per person. Sandwich and salad lunches are available as
well, but I don't want to be too cheap here.
- WiFi is complimentary
- Rooms can be rented for $85/night (discounted)
- We can bring in our own audio/video equipment or arrange through
them, price unknown
- They have availability right now for every Thu/Fri beginning with
the last week of Sept through middle of Oct. Did not check beyond
that. Not Saturday dates were available over the same time period.

Radisson (I have far less info here, need to talk with a different
person)
- No prices on anything, but if 30 guest rooms are rented, we can
likely get the main and breakout rooms for free.
- No information on breakfast and lunch
- No information on WiFi
- No info on guest room rates/discounts - we can get a complimentary
upgrade to something for our out of town speakers potentially
- We can bring in our own audio/video equipment or arrange through
them, price unknown (I believe, my notes fail me here)
- Didn't check for availability, but Thu/Fri should be easiest to get,
but it doesn't seem wedding business is as important at this facility
as it is at the Holiday Inn

It looks like we really need to know a few things if we are going to
use a hotel:
Estimated conference size. I am guessing we should be able to get 90
at least based upon the GR8 turnout and might possibly do a fair
amount more. We may need to cap the numbers due to room availability.
Estimated number of guest room rentals. This might be a sliding scale
kind of thing, being that we cannot really know the numbers.
Besides the main room, the number of breakouts will there be at any
one time?

Right now, it seems as if Holiday Inn is a winner to me. Buying a
midrange buffet at about 25/person for 100 people and 4 breakout rooms
for all day both days is $3600 by my calculation. At $150 for both
days, this seems to leave us a lot of room for paying airfare/hotel,
for events, equipment rental and t-shirts (don't forget those!). Plus,
the Holiday Inn is not a very expensive place to stay for those
traveling from out of town. Does anyone want to do a facility walk-
through next week?

Okay, one more thing. Do we need a legal organization? I assume we do.
Is GUM a legal entity? Or, how do we enter into contracts?

I heard back from Marriott. They are going to send me a proposal, but
it seems rather unworkable. The internet fees are ridiculous. No wifi.
$350 for the first line per day, $150 (maybe $75, I tuned out around
this time) per day for each additional line. That alone seems like a
deal breaker.

Did the Holiday Inn have a food and beverage minimum at all?

I just got the estimate back from the Hyatt and their room prices etc
are comparable, but their food and beverage minimum is ~11K for 2 days
so I agree Holiday Inn seems to be the winner so far. Campus Club is
still good if we were to go on a weekend.

I'd be willing to go to a walk through next week sometime if you want
to schedule a time.

I talked to Ben and he said for MinneBar he eventually set up an LLC
to handle finances. I think it makes sense for us to do when we're
getting ready to sign contracts etc. It should be easy enough to set
up.

The questions I have are: what do we do about seed money for deposits
etc? Also, when do we actually pull the trigger on dates and
locations? I'd like to get feedback, possibly from Chad's survey, to
make sure we're moving in the right direction.

Holiday Inn did not mention a minimum food and beverage amount, just
that we'd get the main room free for that many (100) meals, if I
understood properly.

The Holiday Inn proposal details are below. I do not see the buffet
lunch proposal, however. Then again, we can probably give people a
choice of lunch menu items when the register. I will follow-up on that

One comment re: the Break Selections, the prices are not only per
person, but also per break. I presume there would be a morning and
afternoon break. I did not check to see how long items would be left
out, just in case there are multiple breaks. Maybe it'd be wise to
have short breaks, depending on sessions without food, with one longer
break to allow mingling. That is a scheduling thing, though.
