I am seeking advice and solutions around how others handle their Square Accounting integration particularly around: taxes, reporting, and bookkeeping. Square has descent tools in their Tax and Reporting menus in the dashboard, but no strength on bookkeeping. After much research and endless app integration offerings I feel overwhelmed/stifled. I am a maker and not an accountant. We all can relate to this for sure.
So, as many do, I bought the Quickbooks Online subscription (b/c it was the obvious, popular brand solution) and also installed the free 'Connect to Square' App that QBs provides. All is working and data flowing between apps. And, I will also hire a bookkeeper to go into QBs periodically to reconcile, etc.
I have been using Transaction Pro Importer which imports any Data from a csv file to QuickBooks. There are two versions of the software depending if you use QuickBooks Online or Desktop version. I use the Desktop Version since my business needs to keep track of Build Assemblies which QBO is not capable of. The Desktop version cost me a 1 time cost of about $300, 2 years ago and will work as long as nothing major changes in QuickBooks importing abilities from this program. Then I would have to buy a new version of Transaction Pro. So far I love it and not only do I use this program for Square but I also use it for my online store. So far for 24 months or 2 yrs my cost would be $12.50 a month. The other alternative is the online version with a monthly fee of about $10 to $50 depending on which version you want. The video is a lot longer then the time it actually takes me to import the data since since I am also showing a few more features and what my QuickBooks Import actually looks like and my banking account for my reconciliations of Squares fees.
QB was expensive and just didn't blend well with SQ and the customer service was not great. If you use things like Square savings or Square Loan/Capital it doesn't integrate well with QB and their bookkeepers were awful. Thankfully now SQ offers statements but two years ago it all made me want to pull my hair out. It was a very expensive lesson learned. If you have a strong accounting background and time to do it your self this will work ok for you. Their 3rd party integrations are so expensive. It was costing me way too much monthly for how small my business is. 5 out of 10 stars
Next, I tried BENCH accounting. I found them on the SQ app list and decided to try them out. They give a FREE month demo. That was great. It looked like it would work. I was assigned a bookkeeper and it sounded amazing. So I forked over the $2k to do all of 2021. WHAT. A. DISASTER! Again, they struggled with the Square savings, Square Card, and Square loan/capital. They also couldn't figure out cash deposits. It was all supposed to be done in 30 days but they kept extending until they disappeared. After dozens of calls, emails, and messages someone finally reached out to get it fixed and done. They then gave me a half-finished year and said they were done and would I like to renew for 2022....? I went back and forth with them but never got anything back and ended up taking my books to a local bookkeeper to fix. 1 out of 10 stars (1 because their reports were pretty and easy to use just severely incomplete)
Then I went to Tiller-- which worked well but I just didn't have the time to do it all myself. This is a great option if you are just getting started and have an OK knowledge of bookkeeping. 6 out of 10 stars
Last up, I tried out XERO accounting. I hired someone off FIVERR to set it all up for me. Then I set up the SQ to XERO integration. The integration and software are very reasonably priced. I did the free month trial to mess around with it and see how I liked it then they offered me 50% off to upgrade to a full plan. I think it is like $18 a month or so. It was a bit of a learning curve with the integration but overall I'm very happy with it. It also syncs well with LivePlan for my business projections and planning. The reports are great. The integration works ALMOST perfectly. The only improvement would be for the integration to pull the Square Savings. Right now I have to go in and manually transfer the savings out of the Square Balance. For whatever reason, they itemize the merchant fees, Square loan, and cash vs other vs card but savings and square card transactions and sometimes SQ ECWID online transactions get lost. This wouldn't be that big of a deal but SQ also doesn't offer CSV for savings so I have to manually enter each day's savings numbers for four different savings folders. It is a huge PIA and takes a good hour or so each month. I've been in touch with a few different SQ people on this and have faith it will get fixed soon. Now that I have the hang of it I hired a monthly bookkeeper that knows XERO to manage it. 9 out of 10 stars
thanks for your post @DamonManni123 . I do not currently use any integrations, but I do use Quickbooks desktop for Macs. I do everything manually by looking at reports in Square, as well as my other receipts and invoices that may happen outside of Square transactions. I have a bookkeeper/accountant, but he only does my year-end tax filing, and minor fixes that might have an impact on those final year-end numbers. The best thing I ever did was at the advice of this accountant. He set me up with someone who did some accounting setup/consulting. We had just a couple appointments and it might have cost me a few hundred dollars, but the advice I received in how to setup and maintain my books has been great! I'm not an accountant or math wiz, but I really try to understand how individual numbers affect my accounts and overall biz numbers. You can try the best integrations around, but if/when something goes wrong and you don't understand how or where to try to find problems, it makes it very hard. Knowing some basics with your accounting can help you greatly to troubleshoot when things go wrong.
Some of the things I asked this consultant (who had advanced Quickbooks knowledge) was how to record daily sales, and what accounting "tasks" I need to keep track of on a weekly/monthly/yearly basis. Good luck to you...I think once you find your own routine and process that works for your business, you'll be set.
We might have to hit you up for your bookkeeper's contact info - especially if she works remotely! We use a CPA for annual filing and then we do the monthly reconciling ourselves with QB. It can be time consuming if we don't do it as regularly as we should. Would love to get a bookkeeper on board this year for sure.
I have recorded my books via pen & paper for over 20 years. I finally decided to sign up for QB online at the beginning of the year-big mistake. So frustrating to say the least. Cancelled withing 2 days of signing up. Then I tried Hudlr. Very simple to use and I am happy!

As with a lot of client service roles there are fair bit of demands on your time and some unpredictability in your schedule so will certainly create challenges with respect to managing your time and ensuring your priorities are clearly defined.
As an auditor, I think the most challenging aspect of the job is the work life balance. The hours can be long during certain months of the year. Although not really avoidable during busy season, during non busy season, it is important to ensure you make time for your family and yourself. Whether that is booking a vacation, being home for family dinners or getting to the gym, you need to make time to do it. You will likely last longer in your career if you keep up with that and will be happier in general!
As an accountant, I think one of the more challenging aspects of the job is the ability to be accurate and thorough. It is very important for accountants to be accurate and precise because your job is essential to running the business. I can't eloquently describe the challenge of being accurate, but I'm sure you could imagine that after staring at spreadsheets and numbers all day everything starts coming at you sideways. Another thing I find challenging about being an accountant is that there are actually a lot of rules, guidance, or literature that gets put out on how to treat certain transactions from an accounting perspective. It's almost like being a lawyer, especially if you decide to become an public auditor.
Hi Vivian, let me start by saying that every profession has challenging and rewarding aspects. However, working as an accountant brings a lot of responsibility and requires a lot of attention because you have to follow very specific rules and stay up to date on any changes to them. It is a wonderful feeling when you have helped your client meet accounting requirements so they can keep running and growing their business. The most challenging aspect, in my experience at an accounting firm, is using the client data for your work. Sometimes clients may not have enough internal resources but they should give you information to start each project and if the information is not well-organized, you have to work longer and harder to provide the advice to the client. Another challenging aspect are the tight deadlines and time pressure to complete the work.
