Many thanks for the message and the point you make about advertising the conference. For obvious diplomatic reasons, it would be better to wait the january DM and the aproval by the dep. of the porject and budget. I would thus invite you to prepare the adquate document in order to submit it to the january DM (we cant' do it before because of the budgetary calendar based on the civil year: this means that the dep. has not been willing to examine funding requests for workshops and conferences to be organised by next january).

First of all, thank you Daria for setting up the webpage and looking into the budget! I have had a look at the old budget myself and have a number of observations. (I am sorry, but to those of you who haven't looked at the budget yet, this is going to be bad news).
Antonella’s remark aside, which I too find puzzling, not to say downright unnerving; I find to be rather small!
Accommodation: The budget calculates with only 15 participants staying in 8 double rooms for 2 nights, and 2 participants staying in single rooms. Now, this must have been a very small conference, unless there were a lot of people from the EUI participating! Besides, who would like to share a room with a complete stranger, which is what we are offering our participants?
Travel expenses: Last budget calculated with travel expenses for € 267 (one professor from Leiden). In other words, if we operate approximately within the same budget as last, we can pay for one keynote speaker, and as far as people apply for reimbursement of travel expenses, as we told them they could, we have to tell them no.
Honestly I don’t know what to suggest, unless we get a bigger budget we are not going to be able to accommodate 30 people and as far as keynote speakers are concerned, we don’t have to think too hard about who we would like, because we are only going to have one.

Ok, here is what I really think we should do:
Use whatever leverage we have within the department to get an increase in the budget so we can invite more people than the 17 persons that were accounted for in the last budget. Besides, it ought to be possible to get some kind of estimate of what the department think that they may be likely to approve of, even if we wait until January with the official approval. Oughtn’t it?
On our new webpage we have to announce what the free accommodation covers, so people know what they are in for –maybe adding an option to pay for your own single room. And, of course, cancel the offer of partial travel reimbursement.
Keynote speakers: I too am in favour of asking Matthias Middell, but I think we already talked about him when we had the first meeting about the conference. Apart from Middell, let’s try to think of who we could ask without having to pay for them – like Philipp Ther, as Vienna is part of the conference they may be able to pay for him. I could also try to ask my external supervisor, Tore Rem, he is not a historian, but has worked on literature and transfer – let me know if I should ask him!
These are my thought so far, or as a famous war poster reads: Keep calm and carry on!

Dear, Sorry for the delay in my reply to you... and also sorry for the confusion!
There are some administrative constrains to keep in mind and this was my major concern. Nevertheless, i take some of your points.
The call is about to be advertised through our channels (if this is not already done).
With regard to the budget, we normally examine the requests corresponding to the budgetary year (which is the civil year), this is the reason why i suggested you to submit it in january (a way to look at the different requests). But let's make an exception and let's go in december.
Sorry for this, i will be happy to have a coffee with you next week (so that we can see how to present the budget in the case you would need it), i had no time unfortunately yesterday for this...

I am a bit confused. My major concern is that the cfp has to be dissiminated
as early as possible, and we are already a bit late with that. So I
completely understand if you suggest not to advertise it internally but I
don't see why shouldn't we send it out. The deadline for abstracts is
February 1st, we just can not wait till mid january and then send out cfp.
However, the decision of the department on the budget will be decisive for
us when accepting people's papers. Then we can indeed see what scale of the
event we can afford. This all can be indeed negotiated in 2011 there is no
rush with that. Did you ask Francesca not to pass cfp to the communication
unit? Can the project be not approved for that year? Can it be the case that
the department will say we have no money for the conference this year? And
if the project has not yet been approved may be then the conference project
can be presented already in December and the money issue can be discussed in
January. My assumption was that the Department of History is aware of the
project and had approved it.
Hope it sounds not too confusing to you. thank you for explaining to me how
does this bereaucray functions! And shall we catch up for coffee? Or you
prefer genre épistolaire?
