Not really great news on any of these fronts :( But wanted to keep you
all in the loop on where we are with this.

Here's the summary of latest e-mail from Ron at DESA:

Our contract and check are due no later than Tuesday, March 24, 2009.
(asking to see if we can give him credit card, Peter)

As stated in our initial conversation and our walk-thru, we don't have
an IT person on site for Technical concerns. The rental of the space
does not include IT services. Use of the Wireless connection is free
and open for your use on this rental (Sounds like our best bet is DC
CTO for this one)

Chair rental: I would recommend contacting AAA Party Rental 5618
Randolph Road Rockville, MD 20852 301-23... The Standard rate on a
basic black folding chair is $1.50 (sounds like we have to arrange
this... what do you think? can we afford and it is it worth it for 50
chairs? 100 chairs?)

I will have to fax you a map of the facility. (will see again what I
can get from him electronically)

NO Refrigerator is available (ugh. I'll try again via phone on this
one)

Room capacities & projector & screen info: (this looks good, keep
asking for people to bring screens, though...)
Ellington Theatre - 839 seats (projector & curtain/screen)
Ellington Gallery - 75 seats
Rehearsal Hall - 75 seats
Banquet Hall - 150 seats
Classrooms 101 - 25 seats (projection screen & hard wired Internet
connection)
Classrooms 108 - 25 seats (projection screen & hard wired Internet
connection)
Classrooms 116 - 25 seats
Classrooms 117 - 25 seats
Classrooms 120 - 15 seats (projection screen & hard wired Internet
connection)
Classrooms 205 - 25 seats
Classrooms 216 - 25 seats
Classrooms 220 - 25 seats
Media Center/Computer Lab - 25 seats

I have a note out to him re: items from our meeting tonight. Thanks so

Maxine, please correct me if I'm wrong but I think the following clarifications need to be made concerning the list of rooms below:
  1. We can also use the stage in the theatre as a separate meeting space by dropping the curtain. I believe Ron said it could hold 100 chairs, although he said the same at the time about the Rehearsal Hall (which below says 75).
  2. Beyond what's in the classrooms, DESA has 100 total additional chairs. These can be split between the Ellington Gallery, the Rehearsal Hall, and the stage (if we want to use that as a separate space). Below, they say each of the first two spaces will hold 75 chairs, but it doesn't make the point that there aren't that many chairs available.
  3. The classrooms may hold up to twice as many chairs which we would have to provide.
I hope this is helpful to make sure nothing is missed between now and the day of.a

Yes, that's all correct, Wayne. Thanks for clarifying.

Given the budget, we will not be renting the additional chairs. We
will try to supplement # of chairs in all rooms (including stage &
rehearsal space) with chairs from classrooms that we're not going to
be using for our event. This will require a lot of leg work by
volunteers Saturday morning.

We need ALL HANDS ON DECK AT 7:00AM ON SATURDAY for this and other set-
up activities. Encourage others not on this list to come help out as
well. You'll get first crack at the bagels... ;)

I'm in.  Roger.  Anyone want to give me a ride on Friday for the 7am work? 
 
I'm staying in Silver Spring but can meet anywhere metro accessible.  Or I can just get a cab too....
