Uploading proof of enrollment past the deadline: A small step for GSoC, a huge step for some student

A student sent the final PDF for his proposal but did not submit the proof of enrollment and now the "Upload" button is disabled. Now in the list of proposals at https://summerofcode.withgoogle.com/dashboard/proposals/shared/ his proposal appears as "Complete" even though it is not.

I understand there is a deadline for submitting the proof of enrollment and that it passed. I thought but I don't understand who exactly is winning if you are so strict as to disable the Upload button after the deadline. I'm thinking practically the Upload button can be disabled whenever you guys want after the deadline. So the existence of the deadline would mean that Google is free to discard any proof of enrollment sent after the deadline. Please consider enabling the proof of enrollment Upload button at least until you guys finish reviewing all the existing proofs of enrollments (which I understand should take at least a few more days).

I hope it is not too much trouble but not holding my breath, my view is limited. :)

Best regards,

Hi Alex,

Students had to upload their proof of enrollment by the March 25th deadline (same as submitting their final pdf). There are no exceptions to that rule.

If they uploaded an unacceptable proof of enrollment then we tell them why it is incorrect and they can submit another one (they can actually keep submitting new forms until April 11th). Then if they still did not submit a correct proof of enrollment their proposal is no longer acceptable by your org.

Complete just means they submitted a final pdf.

We realize this is confusing and it was not our intention to have the students who did not submit both their required forms - the final pdf proposal and the proof of enrollment - by the deadline to be shown on your list. But they are there right now and it was too risky to try and mess with it while all of you are busy reviewing the proposals.

Best,
Stephanie

Hi Stephanie,

Currently looks like April 11th is the real deadline and GSoC is in fact making exceptions for some (most?) students by allowing them to upload a proof of enrollment, while blocking others who did not upload something by March 25th. To fix this, next year you could announce both the date when you start to review the proofs of enrollment AND the the hard deadline which will be later. So deadline = the upload button is deactivated *for everybody* (because you need to stop at some point). Then after the deadline you continue to review what's left and that's it. The students still have a lot of time to resubmit when they submitted early and their proof is invalid, so nothing is lost.

For now it would be nice if you could inform the (few?) students who missed to upload the proof of enrollment that the hard deadline is actually April 11th.

Best,
Alex

Hello Alex,

We are not making exceptions, we don't do that.

Students who followed the rules and uploaded a proof of enrollment before the March 25th deadline but had something wrong with their proof (wasn't fully translated, etc). are told as much and have until April 11th to upload a correct one. If they fail to do so their proposals will not be shown for orgs to choose from.

For students who just didn't upload any kind of proof of enrollment before the deadline, thus missing the deadline the are not eligible.

We will not be changing this. The hard deadline was in fact March 25th to upload a proof of enrollment. Students had just as much time to submit a proof of enrollment, which if they are actually a student shouldn't be difficult to do, as they had to submit their final proposal.
