Hi, have started using GAM to send Guardian invitations to parents and when we first tested this I was manually inviting individual which worked a treat. Yesterday we have invited all parents (1500 of them!) to be Google Guardians for their children and ran the command to run the CSV.

This has worked a treat as well but the question is given how many invitations I have sent out would it be correct to assume the invitations to take a while to get to the parents? As a majority of parents are still waiting for an invitation and its been 24 hours now.

I can see the invitation is still pending for the parents in question when I run the print command.

You may want to open a case with Google support to start investigating. If guardian invitations are showing as pending then GAM has done all it can do.

I'll leave it to other EDU admins to share their experience with timing of the actual email notices.

Thanks Jay, I will get in touch with Google support.

I have logged a call with Google who have updated the call to say to reduce the size of the bulk invites to 50 invites at a time and slowly increase the size up to 100 invites at a time.

So when I sent 1500 invites it was vastly too many.

I will keep you updated with the number of invites you can send at a time.

OK is there a way to delete all pending Guardian invites in GAM? Or do I have to wait for the 7 day invitation to expire before resending the invites again to the parents?

Its just Google has asked to send the invitations again in bundles of 50 parents at a time but can't re-invite an existing Guardian.

Cheers

Ian,

It's currently not possible without some pain.

I'm supposing you have a CSV file guardians.csv that looks like this:
Guardian,Student

You said: gam csv guardians.csv gam add guardian ~Guardian ~Student

You could now say: gam csv guardians.csv gam delete guardian ~Guardian ~Student

Gam deletes the guardian if they've accepted; if not it looks for an invitation and deletes that.

The pain comes in because the already accepted parents will have to accept again when you redo the add.

So when I run:

gam csv parents.csv gam create guardianinvite ~parent-email ~student-email

The parents.csv should just have 50, is that correct? and then I need to wait a minute, and run it again with a different 50 names until I am done? Yea, at 1200 kids with multiple email guardians, this will be fun. Is there like a maximum invites per day thing for this?

Split the large csv into many 50-sized csvs and batch run them with a wait.

Hi Maxim

I have done 50 invitations at a time today and this has been working perfectly fine, with a pause in-between each batch run. I don't think there is a maximum you can send in a day.

The very first run of 1500 invitations I had about 150 parents sign up so you could probably stretch it that far but I'm playing the safe game for now.

Alright, I split my CSV files with 50 per CSV and then ran them in a batch with 100 seconds in between. This was less than ideal. Several times I got an error that said:

Temp error backendError. Backing off

I had to cancel the batch and restart it.  It got stuck on 1 CSV file for some reason so I split it into 2 and then that did the trick.

Regardless, this sucked and I hope they get this resolved.

Hmm, even after doing 50 at a time, I've had several parents email me saying they've never received the Google Classroom Guardian Invitation email. So, basically, I am not sure how reliable these invites are. Argh.

Maxim,

I'd check with the parents first. Have they reliably reported their email addresses to the school?
At the schools where I volunteer, we get: "Gee, I forgot to tell you my new email address, maybe that's why I'm not getting the school emails."
Have the messages gone into the parents email bit-bucket? "Oh, that spam filter." The mail is coming from: no-reply+b<Digits>@classroom.google.com
