There is much confusion and frustration taking place about the new SAHPA renewal procedure.
I have just spent some time on the phone to Louise at SAHPA to clarify the issues, to save her
receiving phone calls from every member of SAHPA by means of this post.
Louise has already received over 200 calls about these issues.
I hope this post clarifies these issues.
Note that these changes originate from RAASA, not from SAHPA, so please do not get upset with SAHPA,
our hard-working secretary nor the current committee members.
This is what you need to do for your renewal:
· Original New application form to be completed and signed ( by yourself and instructor)
· Certified copy of Logbook or logbook copy with original signatures on copy
· Original medical fitness form to be completed and signed
Did you notice the word, "or" in that second point? I did not... I bet most others also did not.
To clarify, please read this as:
Either a certified copy of Logbook
or
logbook copy with original signatures on copy
So what has actually changed?
Firstly, no more scanned documents to be emailed to SAHPA.
You need to send the actual hard-copy paper docs, either my mail (Post Office) or via Postnet, with
hand-written signatures in pen.
Original forms, means no more emailing a scan of the form to the instructor to sign digitally and
email back to you.
You need the instructor's actual hand-written signature in pen on paper, so you either need a
face-to-face meeting with him, or email your completed and scanned form to him (before you sign it),
get him to sign it and post the paper form back to you, then you sign the form yourself and send to
SAHPA. So both your signature and the instructors' pen signature is on the form. Best to not use
black pens, as blue pen on a black and white scanned document is clearly a hand-written signature.
Seeing as the postal service has become quite unreliable, I would suggest you use registered mail and
then email the tracking number through to Louise at SAHPA office, or use Postnet, also followed by
sending Louise the their tracking number.
The SAHPA PO Box address is on the letterhead received with your renewal pack (also on SAHPA
website).
Or use Postnet, address it to:

Then email the tracking number to Louise at SAHPA office.
Secondly, in the past we sent only an abbreviated log book.
Now you need to send your actual flight logs for the year as well.
Again, a photocopy or print-out of your logbook for the year,
but you need to sign and date it just after the last logged flight (i.e. self-certified).
Note: You do NOT need to visit a Commissioner Of Oaths to certify this.
You as the pilot certify that the logbook is complete and accurate by signing and dating the last
page.
Lastly, the medical fitness form, also hand-signed by yourself and sent with the other docs to SAHPA.
All the confusion and frustration originated with the words, "Certified copy" which by legal
definition implies that a Commissioner Of Oaths needs to certify the docs. This is NOT required!
What if you do not have an instructor nearby to sign your renewal form?
In this case, you may do the following:
Complete your renewal form, sign it, then scan the doc, send the original paper doc to SAHPA, but
also email the scanned copy to an instructor, who will sign it and will send it directly to SAHPA.
Louise will combine your original signed renewal form with the instructor's original signed form when
both have arrived. In this way, though she has two copies of the form, she has your original
signature on one, and the instructor's original signature on the other.
I trust this clarifies the requirements.
