When Is the Best Time to Get Things Done? | September Meetup Meeting Minutes


Date: 19 Sept 2018

Attendees:  Ray, Karl, Ke, Jim, Lillian, Ken, Bryant

Location: We Work Dupont


Challenges Forum: timed opportunity to go around the room and help the person by using the group by providing suggestions & ideas to solve their issue


Topic:  New LLC -

  • Book: reading the lean start up

  • Lean start up meet up

  • Departments within the business aka separate categories; looking at infrastructure requirements e.g accounting software

  • Choosing tools that can grow with the business

  • Ensure you keeping good data to help make good business decisions


Topic:  Trying to find focus to write reports; have a lot going on (audience of report has changed)

  • Try looking at other industries(e.g banking, audit, compliance) and look at marketing examples of how they compress or jazzed up dense materials

  • Explain it likely our talking to your grandmother- get feedback from those who aren’t familiar w/ the information

  • Plain language guide within the Fed Gov’t - planlanguage.gov

  • Book:  Brian Gardner; turning legal language into plain English

  • Look for training courses that can help you gain comfort in marketing language

  • Book; Pitch Naything Klaff

  • Be key at looking at your objective maybe its changed if for a public audience


Topic:  How to organize contexts and divide those lists around

  • Application specific tags instead off read - write the tool you use aka instapaper

  • Context amount of estimated time; Small 5 mins, Medium 30 mins Large - over an hour (examples)

  • Remember the flow context, energy, time availability and intuitive selection of projects; 4 criteria model


Topics: Still rely on OCD to get things done; how can fear be used safely to trigger remembering items

  • May not be safe to use fear

  • Subconscious mind work along with meditation practice; pairs well on rewriting old programming and installing new thoughts

    • Check out Hal Elrod podcast & book morning miracle; he was able to use mind to recover his short term memory

  • EMDR & CBT therapist


Topics: Trying to organize a GTD system; when something isn’t quite a project or area of responsibility - this example for clients

  • Client A (Financial) Client A (Legal) - example of projects naming schema

  • Review the complete client list(doing the bigger picture planing), looking at the tree of the projects you working on for them

  • Also consider time horizons

  • 80/20 rule for clients

    • People have different internal /chrono-biological types; 4 types of categories

      • Dolphin- light sleepers

      • Bear - most common

      • Lion- early risers

      • Wolf- late night

  • When: The Scientific Secrets of Perfect Timing quick book summary

    • Emotions are big part of our day based on circadian rhythm;we have to adjust for our archetype

    • Self analysis of who you are and how you work

    • Taking breaks is still something in its infancy

    • When we have low cognitive energy go out and be physical to support brain downtime

    • Types of animal comparisons

      • Lark- early bird

      • Night Owl [as described]

      • Third Bird- middle zone

  • Add in the unscheduled [map of your week & block out ‘pleasure time’, schedule in where you have peak time and move other items accordingly ] Dr. Neil Fiore (add the video link & template) using both books as background to defining your work

  • Always be asking yourself where & when is the best time for everything - even things like grocery shopping

  • During my weekly review identify a WHEN
