Challenges Forum:

  1. Saturated in one task or chore than have trouble switching gears to different task: setting work boundaries

    1. Timers; Pomodoro pick your TIME; not bounded to default 25 mins

    2. Be realistic with the time you set

    3. Start tracking and take a look at the data to get a feel for how long tasks will take

    4. Alliances with similar folks; accountability

  2. Work vs personal GTD software; Loves OMNIFOCUS but uses CRM (Daylight- more so used for real estate)

  3. Balancing big picture thinking with smaller todos; want to think about what I want to do; didn’t enjoy time at previous job (11 years)

    3. Book recommendation: What color is my parachute? Use it as workbook

    4. Schedule days home at for work like days (simulating the office life)

Main Discussion: Capturing / Collecting  


  • Capture what we have on our minds; need to anchor it to some place we trust

  • By writing it down it alerts the brain we gotten it done more so its off our minds and checked off

  • Granularity of capture

  • 2 minute rule which is USED after capture at the clarify/process stage

  • GTD newbies suspend the 2 min rule and focus on capture clarify and organize

  • Tool: Mind42: exports to outline Ithoughts HD (Mac OS)

  • Tip schedule time for processing after large capture 1:1 time ratio

  • Mindsweep protocol for ‘natural planning mode’ planning is not the same as ‘capture’

  • Consistent capture: google docs for capture (do not have to worry about save)

  • ABC; always be clarifying

  • Identifying what needs to be reference material or whats actionable material

  • Goal is to take all external capture and rests in email so there is just 1 capture point

  • Tool: Inbox googlle for email snooze or late alerts; workflow: initially use inbox than check gmail

  • Data liberation foundation; google is not horrible!!

  • Session buddy; for internet bookmark capture

  • Tool: One Tab; psudeo bookmark manager; sessions can be named
