Part-Time Association Manager
The International Environmental Communication Association is seeking a part-time Association Manager.
About the International Environmental Communication Association (IECA):
The IECA (https://theieca.org/)
is a professional nexus of practitioners, teachers, scholars, students, artists and organizations engaged in research and action to find more ethical and effective ways to communicate about environmental concerns in order to move society towards sustainability.
The IECA is a non-profit organization that was formed in 2011. Our mission is to foster effective and inspiring communication that alleviates environmental issues and conflicts, and solves the problems that cause them. Activities include a biennial Conference
on Communication and Environment (COCE) and editorial support for the academic journal
Environmental Communication (published by Taylor & Francis). The IECA currently has over
400 members from over 30 countries.
Length of initial appointment: 1-year contract duration (Oct 2023-Sept 30, 2024) with possibility
of renewal. First 6 months will be an Orientation
and Evaluation period, during which staff and Board Chair determine whether position meets expectations and availability of funding is assessed.
Compensation:
US$22,500/year (US$2,000/month
in September-May, US$1,500/month in June-August) plus complimentary annual membership and COCE registration. This is an independent contract position. Full funding is provided for the initial year appointment, with the expectation that the association manager
help generate grant support to contribute to funding the position thereafter.
Hours/week:
Average 10-15 hours/week
Position Summary:
The Association Manager is responsible for overseeing the day-to-day operations of the IECA, providing administrative support and coordination of services in alignment with the organization’s
mission. In alignment with the IECA’s international membership and mission, we seek a candidate who has strong intercultural communication skills and a demonstrated commitment to global diversity.
Supervised By:
The Association Manager will be selected by the IECA’s Search Committee and reports to the IECA’s Executive Committee weekly, the full board on a quarterly basis, and to the membership
at least once a year.
Responsibilities:
The tasks listed below vary in frequency and duration. For example, COCE, the IECA’s major conference, occurs biannually. Thus, during non-COCE years, event planning assistance will
be limited.
Membership Engagement & Outreach
develop high quality engagement opportunities through groups, events, and digital tools.

Manage memberships renewals and ensure that members receive member benefits (e.g. journal subscriptions, newsletter access, discounted rates for events and courses).

Identify and cultivate prospective members, including individuals, students, organizations and institutions.
Digital Asset Management

Collaborate with the IECA’s Outreach Committee to implement digital marketing, social media, and communication strategies.

Publish and disseminate member newsletter.

Oversee the content management and updates on the IECA’s public-facing website.

Conduct SEO reviews and maintenance to ensure consistent website ranking performance.

Manage and monitor analytics and share results and recommendations with the Executive Team.

Serve as point person for YM, Google Workspace, and social media accounts.

Maintain IECA’s cloud storage and archive (Google Workspace), manage Board and Committee Chair access to files, email groups, etc.

Maintain and provide operational support of learning management system (LMS), including course registrations and certificates of completion, uploading/publishing course content to the learning portal, and end-user support.

Manage all aspects of the membership database, including new user setup/deactivation, roles, profiles and permissions, invoicing, renewals, committee lists, etc.
Event & Conference Planning Assistance

Develop, plan, and manage events and other activities that provide value to members and promote membership engagement, inclusion, retention, and growth.

Provide administrative support for planning and execution of conferences (i.e., the IECA’s biennial conference, COCE) and other virtual events including registration,
schedule/program planning, and marketing.

Serve as liaison between conference planning committee and associated sub-committees to invite speakers and panelists, review submissions, and assist in organizing
pre-conferences and workshops.
Financial Administrative Assistance

Coordinate daily financial tasks, process invoices, and maintain a digital record of financial transactions.

Ensure that the membership database and integrated financial applications run effectively and efficiently.

In collaboration with the Treasurer, manage the budget and event expenditures.

Regularly reconcile ledgers and budgets; create revenue reports to share with the Executive Team.

Support the IECA’s Research Committee in developing grants. This may include researching potential funding opportunities, writing sections of grant proposals such as budget narratives, personnel and organization description sections,
gathering and maintaining supporting materials.
Qualifications
-
Previous experience in volunteer management, marketing/communications, professional association service. Knowledge of CRM, member or donor management systems is a plus.

Experience developing and sharing content for Facebook, Twitter, LinkedIn, and other social media channels.

Must be flexible, self-motivated, and a team player, able to work collaboratively with the IECA Board and Committees. Must be able to establish and maintain an effective rapport with members across the IECA.

Grant writing experience preferred.
