Hi Carly and Trudy,

I have removed the most regular automatic email reminders and added the info to the intranet at https://sites.google.com/site/genoaintranet/blue/internet#TOC-GENOA-Automatic-Email-Reminders
We can remove the others, too, if you want.

GENOA Automatic Email Reminders

Some have used Google Calendar events. Others have used Mail Conductor. Mail Conductor reminders are quicker and easier to set up and change but are held within an individual gmail account. Google Calendar events can be edited by anyone who can edit events in the GENOA Google Calendar.

Google Calendar for reminders

Google Calendar can be set up to send reminder emails by adding people and/or google groups to the “guest” list and then setting “notifications” to be by email.

To show pending GENOA reminders, go to google calendar and only show the GENOA calendar (i.e. uncheck the boxes beside your other calendars), then choose “Agenda View” rather than “Month View” and then at the bottom of the event list displayed click “Look for more” to show events further into the future. Anyone who can edit events  on the GENOA calendar (i.e. all pod members and country reps) should be able to edit these reminders.

There are reminders set up in Google Calendar regarding:
  • Financial Reports (quarterly) and 
  • Country Rep activity reports (half yearly). 
They may be worth keeping (let's discuss). 

Mail Conductor

Uses the Mail Conductor extension in gmail, which Chris has installed in his gmail account. The subject line afterthe @ symbol provides instructions to Mail Conductor. 

Following are reminders that Chris had running in early 2016. I have deleted all Mail Conductor reminders except number 5 that sends a yearly reminder to people to update their contact details in our spreadsheet. I have saved the reminders here for future reference.

You are doing fantastic work out there to build a more sustainable world. Don't forget to tell everyone about what you are doing - you never know who may be inspired by a story you share. They may even come and help you or offer to fund you!

It may take a few days for a moderator to approve it. And then, make sure you post links to the article on your facebook page and on the GENOA fb page at https://www.facebook.com/GENOceaniaAsia

Hi Folks,

Please remember to post any coming events/workshops/conferences/gatherings/etc on the GENOA website. This helps others to manage their schedules. Maybe they can attend your event. If they are planning an event they can make sure it doesn't clash with yours.

Please take a moment to check that you are a part of all the GENOA email groups that you wish to be in:
1) To see the groups that you are subscribed to: first sign into your gmail account and then go to https://groups.google.com/forum/#!myforums
2) To see all the different email groups that are available, go to https://sites.google.com/site/genoaintranet/z/z/functions/email-groups 

Please be aware that gmail may place emails from these groups into its promotions tab, separate from the primary inbox.

Please help us to stay in touch with you as a GENOA Country Rep, Volunteer, or other engaged person. Could you please update your details at https://goo.gl/iCGCzb

Do not include details that you wish to keep private.

If you are unable to edit the spreadsheet, it means that either:
a) you have not joined any coloured pod or the country reps email/google groups. You need to go to https://sites.google.com/site/genoaintranet/z/z/functions/email-groups to join a pod. Or
b) you are not using a gmail/google account with your GENOA work. To solve this problem, set up a gmail account for yourself and subscribe it to a google group coloured pod or country reps list.

Any problems, just email me (chrisgi...@gmail.com).

Once you have updated the spreadsheet, your information is then displayed on the GENOA intranet at 
https://sites.google.com/site/genoaintranet/z/z/functions/contact-directory so all those involved with GENOA can contact each other.
If you have indicated that you are a Country Rep, then your email address and website/fb is also displayed on GENOA's public website at http://genoa.ecovillage.org/en/page/contacts-and-networks

While you're at it, update your membership of the various email groups. Take a look at the email group page at https://sites.google.com/site/genoaintranet/z/z/functions/email-groups and think about what groups you are a member of. Click on the "View Members" link under any group/pod. If you are not permitted to see the list then you are not a member of that group.
