I've shared a document with you called "Geek Week AZ 2009":
http://docs.google.com/Doc?id=dcgfzhmz_12dbkqnfcs&invite=348450408

It's not an attachment -- it's stored online at Google Docs. To open this document, just click the link above.

We're putting together documentation to provide potential sponsors so they can plan for Geek Week AZ in their marketing budgets for the next fiscal year.

I will be sending out an email as soon as I can to all of the organizers of participating events asking some key information: Short description, sponsorship costs & levels, and general demographic breakdown. With this information, one of the most important pieces of the document will finally be added: How much will it cost to sponsor ALL of the events.

My thoughts are as follows (and it's up in the air for discussion):

Platinum Geek Week Sponsor: Sponsor all events at their individual levels to get, in addition to each event's benefits, Primary promotion via geekweekaz.com and Geek Week swag. The cost is equal to the sum of the sponsorship packages, possibly a little extra to cover print & clothing costs.

Gold / Silver Geek Week Sponsor: Sponsor multiple events (perhaps 3 or more?) and reach a certain cumulative contribution (for example: $10k Gold, $5k Silver) to get, in addition to sponsored events' benefits, Secondary promotion via geekweekaz.com and Geek Week swag.

Other than and including the details above, I would really appreciate your thoughts on what we can do to improve this document and appeal more to potential sponsors.

Here is our sponsorship package and here is who has already committed to us:
Microsoft, Infusionsoft, City of Gilbert, Business Journal
Probably should not go to them. But a bank would make a great sponsor, and some banks have refused us because our audience isn't large enough. They'd be good for the entire week:-)

We've found that sponsorships are very hard to get this year (not surprisingly). Budgets for big companies often change fiscal year on July 1, and even people who have asked for us in their budgets are not sure they will get what they asked for.

As a personal policy,  all email responses regardless of recipient or subject will be three sentences or less. It’s that simple.

We still need to approach them about the rest of the events, but it's important to know who they've already committed to. Any figures we present them with for Geek Week can be minus what they've already committed to any of the participating events (e.g. "instead of $10k, you only need $5k more to become a Geek Week Gold Sponsor, since you're already sponsoring ___").

I think Wells Fargo expressed some interest and is waiting to hear from Joe with this kind of information. Hopefully we can get this document tightened up and sent to them soon.

Wells Fargo SHOULD be a Geek Week sponsor.  They have always sponsored the Entrepreneurship Conference in the past, and didn't do it this year because the BJ isn't doing a supplement.

For Wells Fargo, I think it'll be especially important to nail down attendance numbers (mostly complete) and demographics. I'm sure they would love to see how many entrepreneurs attend most of these events!

For us, it's 350-500.  Joan says they want 1000, like the Chamber gets.
