Draft Event Organizer Questionaire

Hey all,

We're connecting with potential sponsors (see draft sponsorship doc) and venues for GWAZ events. In order to leverage and assist all of the events as much as possible, we NEED data. I'm going to email this directly to the primary contacts for each event, but wanted to open it up for feedback on the form itself first.

For sponsorship, I need to get attendance and demographic information in a consistent format so I can compile it and provide summary figures to potential sponsors. I'm asking for sponsorship costs so we can total them up and see what the overall cost would be to sponsor ALL of the participating events (to become "GWAZ Platnum Sponsor"). Any data you can possibly provide about attendance and web analytics will be immensely valuable when approaching potential sponsors.

For venues, it will be useful to have this basic information for ALL events, even if a venue is already set. Obviously, it'll help us help events without a confirmed venue. If we can get a great deal on a bigger/better venue for events that have already settled for what they can afford now, we will be in a great position to upgrade to a new venue if interest in the event grows beyond anticipated levels. I'm working on securing the best deals imaginable in downtown Phoenix, because they REALLY want to get events like these to take place there.

Brian,

Only because I've seen people make way too many errors with forms, I suggest the following:

Sponsorship levels: Make your example amounts scale down. $1000 for 1st, $750 for 2nd, $500 for 3rd. Yes, I know it's just to show them the format. But helping them figure out which one is "first" may be helpful.


I'd clarify this question:

Attendance: How many attendees do you expect to have during Geek Week? *

To read:

Attendance: How many attendees do you expect for your event during Geek Week? *


I think you need a demo question about employees. Several companies send folks who aren't executives. Several people come to these events hoping to further their careers within an organization, yet aren't technologists, artists or media producers.


Other things to think about that may provide potential sponsors with more info or help select a venue

Official or unofficial after-events
% of people who get lodging for the event
Secial needs (e.g., big outdoor park to have a robot battle)

will implement them as soon as I can.

Can you elaborate on the "employees" idea? Are you talking about
something along the lines of asking how many attendees were sent by
their employer?

Yes. The current form asks to quantites of execs, techs, artists media folks, and entreps. Some events may have large 'other' contingencies. Be nice to quantify them, too.

One such group: people sent on behalf of an employeer that work outside of IT or a media department.

I like your comments Evo; Brian - anything we can do to support the
effort to get this dang thing out the door; even in an imperfect

Steve, with your experience with most of these events and knowledge of what we're trying to get together for the sponsorship document, you could definitely help me in communicating with the event organizers. When I send out the emails to each of the organizers, I will CC you and direct them to communicate with you on any questions they have. It would also be great if you could help review the information as it comes in to sanity check it and make sure it's consistent.

Michael, I could use your help and technical know how to make use of the information once we get it back from organizers. Do you feel comfortable with doing some number crunching and helping me find the selling points & strengths in numbers we get back from this form?

Steve, you can probably also help us with incorporating our results into the document?

I'll get the questionnaire updated and send out as soon as I can, while we've got some momentum & participation.

follow up ASAP to get the data in hand quickly. Any mkt effort needs
the info form this analysis so time is marching on as we wait for it.

The sponsorship doc - I can compile the data, will need a graphics guy
to dress it up when we have it done
