Hospitality Volunteer Masterfile

Dear Brothers & Sisters in Christ,

We need to come up and maintain our own Volunteer Masterfile. This masterfile should be updated and monitored weekly. Can Crisel manage this using excel? The information on this file are the following:
A. Last Name
B. First Name
C. e-mail 1
D. e-mail 2
E. mobile 1
F. mobile 2
G. T-Shirt Size
H. Committee
I. Role
J. Food (Breakfast/Lunch/Dinner)
K. Others (Dgroup Leader, exceptions, etc.)

AC Ong, head of Volunteer group, informed me of the following facts:
1. We need to send our list of volunteers as early as possible so that we can still make it to the allotted volunteer slots
2. All volunteers are expected to work during the event and NOT to participate in the sessions. For transfer of payments made by volunteers (Php 3k or 3.5k), we have to coordinate with Registration Team
3. As of now, all volunteers are expected to work straight for four days. Exceptions are the airport concierge. Discussions are being made by Ptr JP and the others as to allow less than 4 days of volunteer work.
4. All volunteers will get 2 shirts and a kit if they volunteer for 4 days. In case less than 4 days is approved, they will get another package.
5. We need to coordinate volunteer food with catering team. Lunch is already included. I am not sure of breakfast and dinner. We need to decide who needs breakfast & dinner. I think Bus Marshalls & Hotel Coordinators needs breakfast. Bus Marshalls also needs dinner. All the rest are lunch & snacks only.
6. We do not allow volunteers who are not from CCF. Instead we encouragre them by signing them up as participants. We can say to them "We appreciate your willingness to serve with us. However if there are people we'll allow to miss the benefits of the event, its our own people. So we encourage you to sign up as participant".
7. As for security, we do not need pictures on their IDs. Volunteers will be identified by shirts, IDs, maybe committee heads and print-out of volunteer masterfile. I think the best is for each one of us to watch out and be aware of the other volunteers in CCF.
