How are all of you doing? I hope that everybody is excited to serve for the upcoming GDC.

We just finished meeting with our Singapore counterparts the other day and it was very fruitful.
We still have a long way to go but I believe that we can do it.

As of today, we are exactly 4 weeks away from the start of the conference.
Let's work together and help each other in meeting our deadlines.

Can you help out with the following important deadlines?

2. April 25 (Thursday) - Final Volunteer List - AC Ong

Note: the other information can be for hospitality use, AC Ong just need the final list with the above info.

3. April 25 (Thursday) - All marketing materials
A. Posters/Banners
B. Airport A4 standee and 0.9M x 2.8M roll-up (pls verify)
C. Bus Info - front, sides(2), back
D. others

Let me know other rush deadlines this week. My concern is the volunteer list. AC Ong is rushing since they need to produce the t-shirts and the IDs.

I think Jen of Catering will also need the list of food, but that info can follow next week.

Sorry, I made a mistake...

Singapore will design the bus signs and also the bus pass/ticket. No need for transpo team to do that.
I think Singapore is planning color scheme, I did not argue with them on this issue.

So far the simple marketing materials lang ang kailangan natin, those for the 3 terminals and for the single desk at CCF center.

Dear transpo committee,

I have a favor to ask.  We need to measure the parking of our 38 bus outside the CCF Worship Center.

The allotted slots are the sidewalk in front of CCF along Frontera Drive up to the front of Hypermart which is beside Silver City.

We also have 1 side parking along Road D (which will be extended up to C5) during GDC.

Road D parking is for buses which will not fit Frontera Drive. (I am attaching jpeg file)

My problem is that this sidewalk is designed for passenger parking with some trees.

I want to make sure that all 38 bus can park properly.

I also want to assign parking slots for each bus (P-1, P-2, P-3 up to P-38)

You need to measure length and width of bus and measure the whole length of the street to make sure.

We also need to make signs so that bus driver can see the parking slot number assigned to him when he arrives.

Signs must also be seen by the delegates when he/she comes back to parking area at night.

I suggest Transpo conduct an ocular together with ground services and VIP and maybe concierge.

I think the gold loop parking is a private parking lot exclusive for the office buildings around the area. It's not a pay parking open to the public. I doubt they would allow our bus to be parked there for loading or unloading. But we can try to ask.

I think that I'm confused about what's being discussed here in this thread.

What is the need for parking at Gold loop?

I think that Charlie is saying that all 38 buses should park around CCF. If all buses fit there, and I'm confident that they will, we don't need to park at gold loop anymore.

Also, my understanding is that the starting point for each day would be at CCF, provided that the 38 buses fit. I would want to start each day of the conference with a short meeting with the volunteers to have devotion, prayer, debriefing for the previous day and briefing for the day ahead.

Sorry, suggestion lang ito Gold loop, para not all  38 buses will not be ADB open parking ( Bank drive area)  -  let us not consider it na.

Every morning of May 23-25, the 38  buses will be parked  first at the ADB parking area (Aport), parang holding area of our buses, because they can not be park along the street  - then as needed they need to leave the parking  and go to the respective hotel, such as crown and holiday Inn.

Right now we are looking at two ( 2) parking in the morning as soon as the buses arrive in ortigas.

1. Capitol  20 buses

2. ADB (Aport)  18 buses

Hi Tin,

My opinion is that I would prefer Bank Drive area for the 12-14 buses needed for Crown and Holiday Inn.  I do not know where this Gold loop is and I don't know if it will be as cheap as Php 150 for 2 hours and I am not sure if the road outside this Gold Loop can accommodate more than 10 buses going in/out.  You are correct, let us NOT consider this Gold Loop anymore.

My plan is for ADB parking to park buses for Crown and Holiday around 6:00 to 7:30 am.

As for the other buses, My personal opinion is to have them stay at Capitol area which can hold 27 buses.

Before I can go ahead with the above plans, I really need to know the status of the parking in Frontera.  I will send seperate e-mail to Janeth about this.

There is special VIP dinner on May 24 by Singapore team. It will last until 10:00 PM. Will there be extra charges for their vehicles? (vans & coaster)

Ortigas group finally agreed to let the bus park in Fontera Verde. Praise the Lord!
I am attaching the map where the bus will park. They allotted parking for 40 buses.

I hope you can all review and decide a definite plan.
I also hope that you can inform Singapore after you decided on the definite plan.

These are my suggestions only, please feel free to change them to suit your requirements.

Also, there are some information which needs coordination with other departments such as Ground Services (Traffic Ushers) and Logistics (printing of materials),
please coordinate with them directly once you made a final decision. I want to apologize for asking Logistics to design and to consider the egress flow without prior discussions.

2. The approximate time that bus needs to be in that parking area
3. The time to pick up the delegates in the hotel

These are just my suggestions, please feel free to edit them or to disregard them.

If you want to use Commons and ADB, please coordinate with Tin-tin, Ginny & Janeth. There is a fee for ADB parking.

You also need to coordinate with bus company with regards to the timing and the distribution of buses.
You also need to decide when and where to put the stickers on the bus.
Lastly, you also need to decide when the marshals are going to ride the bus or where to meet up.

I am attaching a file "Hotel Assembly Time.pdf" which contains the following information:
1. The official list of hotels
2. The assigned bus with bus no. per hotel
3. The assembly time for May 22 and also May 23-25

I assumed the following:
1. For each bus, we will print 60 bus pass. I assumed that bus can hold 49 pax + 11 pax (folded chairs?).
2. We will only give out 44 bus pass for each bus, the allowance will be for use by organizers or emergency scenarios
3. Each delegate will have a copy of the assembly time, whether the copy has all the hotels or only 1 hotel is your decision
4. At the area of the hotel coordinators in the hotel, they also have a copy of the schedule.
5. I also think there should also be a copy in CCF, and maybe flash in the screen.

There are just my suggestions, please discuss them with the group and come up with a definite plan.
Feel free to edit them or to disregard them. No hard feelings on my part.
I leave it up to you whether you want to inform Singapore counterpart or not.

Hi Edwin,

I am attaching a file "CCF Departure Plan.pdf" which contains the following information:
1. Assigned parking area for each bus
2. Departure procedure for each bus
3. Maximum waiting time for each bus

Sorry, I did some assumptions and asked Tina of Logistics to design and plan for deployment of the parking area & bus pass tickets.
Please coordinate with Ground Services if they changed our bus parking area or not.

My idea for the egress is as follows:
1. Once the last session ends, all delegates will exit at the same time
2. Foreign delegates will just look for the area where their hotel bus are parked
3. They can enter the first hotel bus that has doors open. We will not open all the doors, there will be a queue, bus marshal will load and count the delegates entering the 1st bus that will open it's door.
4. When the queue is too long, the second bus can open the door and cut the queue up to 44 or 49 delegates, the bus marshal must guide the delegate from the queue that was cut to the bus with the open door.
5. The idea is to move out the bus as fast as possible. The delegate will refer to their hotel letter only, no need to refer to the exact bus no.
6. For the last bus that is left behind, this bus must wait until the maximum cut-off time listed. If last session is 10pm and last cut-off time is 30 mins, then last bus must wait until 10:30 before it leaves The last cut-off time must be relayed to the delegates inside CCF.
7. All bus marshal must get clearance from central command in order not to clogged the road
8. For hotel with single bus, this bus must wait until last cut-off time before leaving
9. Central command must control the departure in order not to clogged the parking slots in the hotel when the bus arrives there.
10. For holiday inn, bus marshal must escort the delegates across the street when bus arrives
11. There will be nights wherein bus will go to dinner venue (to be discuss after more details arrive)

I hope you can finalize all the above egress procedure. Feel free to come up with your plan.
Maybe you can coordinate with Ground Services (Paul Tan-chi) regarding this. I think they have another plan of their own.
Maybe you can answer e-mail of Paul which concerns egress.

I leave it up to you if you want to inform Singapore with regards to the egress procedure.

I am sorry that I have been "cold" these past few days. I am sorry that I have contemplated of giving up.
I now realized that I have been proud and did not see God's hand at work every step of the way.
I hope you can all forgive me. Let me know how I can make it up.

In the meantime, there are still a lot of work that needs to be done,
I will be a little bit more forceful this time around.
We have exactly 2 weeks to go and here are some of the things that are on top of my mind.

Meetings:
1. We need to have a committee head meeting among ourselves to align everything, discuss all the problems & issues and find solutions. Can Crisel coordinate the schedule for this? Hopefully before this week ends we can have a solid plan. This meeting is not for all volunteers, but just for committee heads.
2. We need to have a core committee meeting with Ground Services, Registration and Security to discuss all coordinations. Can Tin-tin coordinate this meeting? Maybe this week or early next week. No need for everybody to attend, but the core team must be there. If Lynne and Sherryl wants to talk with Registration team at an earlier time, I will find time to be there also.

Airport Kiosks:
- We need to finalize the names of the volunteers who will be there at the airport. (Bernard, I will answer your e-mail inquiry in awhile) Hopefully, we can submit the names to DOT as soon as possible. I hope that during the meeting with DOT next week, we have all our data complete (names of volunteers, car plates, plans, etc.)

CCF Hospitality Desk (Concierge)
- Andra, can you be in-charge of the FAQ for everybody? I think we assigned this previously to Crisel. Let's come out with a single FAQ that is simple. Please submit all your suggestions.
- I am also thinking that if delegates went directly to CCF from the airport on the first day, these delegates will need bus pass to ride the bus going back to their hotels. Maybe you can handle this, but we need to sit down and discuss how to coordinate with those riding in the hotel, we need to count how many pass pass were given out.

Hotel Coordinators
- we need to get the list of delegates per hotel from Singapore team. if we can also get a list from the travel agents, the better. We need to double-check these with hotels and plan the number of bus pass. Did you see my attachments before which concerns the information in each of our hotels?
- were you able to check the holding area of the delegates in each hotel? we need to know if holding area will block their lobby or not.
- I was told by some hotels that they can help secure the bus permits for their hotel guests, can you check which hotel can help us? we can send to that particular hotel the hotel details i made (I send them individually yesterday)

VIP
- let us know if you need any help or if there is a problem with some of your volunteers
- you also need to coordinate with Tin-tin with regards to DOT on how the VIPs will be fetched in the airport

Bus Marshal
- Can I assign some of you to focus on the following departments?
A. Bus Company - John and Edwin - need to coordinate the time, what time to arrive in parking area, what time to be in the hotel, etc
B. Community/Villages (Ortigas, Greenhills, Valle Verde, Corinthians, etc) - Joseph & JV - communicate with hotels on what community will be affected by bus routes and get the proper permission from these communities
C. Hotel - Pep and Lynne and Sherryl - coordinate with hotels on the permits needed to pick-up the delegates
D. MMDA / PNP / Traffic - Edwin and Jayson and Jerry - coordinate with them to get assistance on the bus routes, on the hotel and in CCF
E. Local Government (QC, Pasig, Mandaluyong) - Edwin, Jayson, Jerry - get clearance to avoid bus being delayed. Get permission to use the roads under the bus routes
- We need to discuss and to finalize the egress procedure
- We need to finalize the bus parking in all aspects (before hotel pick-up, in CCF and also dinner time in some days)
- We need to coordinate with traffic ushers when it comes to where bus will park and assitance of our delegates in the morning and in the evening
- We need to plan for emergencies - rain/heavy rain/flood/first aid kit

Can Vins help in consolidating the tasks of each volunteer under each committee? We need to come up with a volunteer guide or reminders. We will give this to all our volunteers just in case they did not attend prior meetings or are forgetful.

Glad to know you are back and very much into the nit and grit of things.
Here are some of my comments coz I thinks most of the items you mentioned in the email have already been address and we need to focus on some other task that are yet to be done. 1. I think we now have the names and the plate numbers of the VIP volunteers' cars. A coordination meeting is under way this coming May 15, 10 am with the Usec of DOT. Please feel free to join. Let me reiterate for the airport conceirge, is that we would be needing more volunteers at terminal 1 than the other 2 airports. I shall try to schedule the same day on May 15, for the final coordination with the airport taxi assn so we will know their process and where will be their loading area.
2. For the core meetings with other GDC dept, I' m planning to discuss this with Ptr Jp tomorow after we meet with the MMDA. I'l request for a coordination meeting so we can be on the same page with our expectations on the event.
3.bus marshaling and transport. After meeting with Mmda, I shall give my report on the outcome of the coordination meeting. In the meantime, no need for community advisory, as we have coordinated with the local govt concerned. What we should discuss on the bus transport is the proper scheduling and which stating point for which hotel. We shall look into the possibilities on using A-port parking along ADB Ave, beside BSA hotel and request for the permission to use Ayala Commons for ease of route going to hotels such as Astoria, etc.
4. Hotel coordinators, no need to request or securing bus travelling permit as we will discuss this items with mmda and the local govt tpmo.
5. For VIP team, I think they have their meeting tonight. We shall ask for their update on their preparations, specially on their lounge preparation and budget.

Again, these are some of the items which I think are already in place. We may focus our energies on things that have yet to be done.

Here are a few updates:
-VIP lounge is currently being sorted out. CCF will be purchasing the furniture for the center's welcome room which will be used initially for our VIP lounge. Ill be joining their buying session tomorrow afternoon. Praise God for this provision as we canvassed for furniture rentals and couldnt find anything reasonably priced! We will be placing couches, meeting tables and chairs that can accommodate 100pax, sockets for charging and people to man the lounge for security and service.

-As for the Gas, i will just base the budget on the car details submitted to me by the chaperones. That would be a total of 14 cars, P1000 a day, for 4 days for a total of P56,000. There are a few more vehicle details I'm waiting for and hopefully i get to follow them up on our meeting this Thursday at CCF Makati, 830 pm. Those of you who would want to join in, please do! Would it be okay to add more vehicles by Friday the latest?

-I would want to apologize on behalf of the chaperones but some went ahead to email the speakers but this brought about a few more details which weren't included on the sheets i received. Don't worry as I have reminded them to course all their communication through me.

We will be updating the whole team this Friday after we brief our volunteers. We will also ask some of them if they are okay with volunteering as bus marshals instead.

Sorry for the late update. I know I have caused a few backlogs but rest assured that we are constantly troubleshooting and working on deliverables.

Please take note of the following contact number for Command Center - Hospitality:

Saraah
Mobile 1: 0917-549-8227
Mobile 2: 0917-963-9650

Any problem during GDC, call her.
For coordination with other teams, please call her.

For Bus Marshalls, In order to know the condition of the lobby, call Hospitality Concierge (Andra) or Saraah.

For Hotel Coordinators, any problem with delegates, call registration hotline first and if not reachable, call Saraah.

For the other committees, if you need any special support, especially with regards to CCF Center during GDC, call Saraah for coordination.

Do not give this number to all your volunteers. SOP for all volunteers, if there is any concern, call Committee heads directly.

If Committee heads cannot solve, call Hospitality Core or they can call Command Center also.

Here is another back-up number (in case you cannot contact Saraah):

To all committee heads:

Janeth just informed me that almost all our marketing materials will be ready today.
We can get them at CCF-Center room 2B around 11am (after the 1st service).
For the other "last minute" requests, these will be finished by Monday.

Can each committee get their requested marketing material and check if these are correct?
I will also be there to help out. Thanks.
