Dear Brothers & Sisters in Christ,
I am sorry that I have been "cold" these past few days. I am sorry that I have contemplated of giving up.
I now realized that I have been proud and did not see God's hand at work every step of the way.
I hope you can all forgive me. Let me know how I can make it up.
In the meantime, there are still a lot of work that needs to be done,
I will be a little bit more forceful this time around.
We have exactly 2 weeks to go and here are some of the things that are on top of my mind.
Meetings:
1. We need to have a committee head meeting among ourselves to align everything, discuss all the problems & issues and find solutions. Can Crisel coordinate the schedule for this? Hopefully before this week ends we can have a solid plan. This meeting is not for all volunteers, but just for committee heads.
2. We need to have a core committee meeting with Ground Services, Registration and Security to discuss all coordinations. Can Tin-tin coordinate this meeting? Maybe this week or early next week. No need for everybody to attend, but the core team must be there. If Lynne and Sherryl wants to talk with Registration team at an earlier time, I will find time to be there also.
Airport Kiosks:
- We need to finalize the names of the volunteers who will be there at the airport. (Bernard, I will answer your e-mail inquiry in awhile) Hopefully, we can submit the names to DOT as soon as possible. I hope that during the meeting with DOT next week, we have all our data complete (names of volunteers, car plates, plans, etc.)
CCF Hospitality Desk (Concierge)
- Andra, can you be in-charge of the FAQ for everybody? I think we assigned this previously to Crisel. Let's come out with a single FAQ that is simple. Please submit all your suggestions.
- I am also thinking that if delegates went directly to CCF from the airport on the first day, these delegates will need bus pass to ride the bus going back to their hotels. Maybe you can handle this, but we need to sit down and discuss how to coordinate with those riding in the hotel, we need to count how many pass pass were given out.
Hotel Coordinators
- we need to get the list of delegates per hotel from Singapore team. if we can also get a list from the travel agents, the better. We need to double-check these with hotels and plan the number of bus pass. Did you see my attachments before which concerns the information in each of our hotels?
- were you able to check the holding area of the delegates in each hotel? we need to know if holding area will block their lobby or not.
- I was told by some hotels that they can help secure the bus permits for their hotel guests, can you check which hotel can help us? we can send to that particular hotel the hotel details i made (I send them individually yesterday)
VIP
- let us know if you need any help or if there is a problem with some of your volunteers
- you also need to coordinate with Tin-tin with regards to DOT on how the VIPs will be fetched in the airport
Bus Marshal
- Can I assign some of you to focus on the following departments?
A. Bus Company - John and Edwin - need to coordinate the time, what time to arrive in parking area, what time to be in the hotel, etc
B. Community/Villages (Ortigas, Greenhills, Valle Verde, Corinthians, etc) - Joseph & JV - communicate with hotels on what community will be affected by bus routes and get the proper permission from these communities
C. Hotel - Pep and Lynne and Sherryl - coordinate with hotels on the permits needed to pick-up the delegates
D. MMDA / PNP / Traffic - Edwin and Jayson and Jerry - coordinate with them to get assistance on the bus routes, on the hotel and in CCF
E. Local Government (QC, Pasig, Mandaluyong) - Edwin, Jayson, Jerry - get clearance to avoid bus being delayed. Get permission to use the roads under the bus routes
- We need to discuss and to finalize the egress procedure
- We need to finalize the bus parking in all aspects (before hotel pick-up, in CCF and also dinner time in some days)
- We need to coordinate with traffic ushers when it comes to where bus will park and assitance of our delegates in the morning and in the evening
- We need to plan for emergencies - rain/heavy rain/flood/first aid kit
Can Vins help in consolidating the tasks of each volunteer under each committee? We need to come up with a volunteer guide or reminders. We will give this to all our volunteers just in case they did not attend prior meetings or are forgetful.
