Thanks for your e-mail.
It is great to know that the draft structure/constitution document is shaping up well!
I just wanted to highlight that you have mentioned in your e-mail “After accommodating valuable suggestions from you all”. Well at least I did not have a chance to look at it (I take the blame for this as perhaps I did not engage much).
May I suggest that the draft constitution document is circulated to all (perhaps in pdf format) via e-mail or through this group (or opening a dropbox with password given to GBS members only).
You can even leave a certain window/timeframe open (say 3-4 days) to provide the feedback and if no one comes back with any feedback it will mean they are positive about the proposed document. In this way it will provide opportunity for all to provide a feedback or at least even be aware of what is going on (even if someone is unable to be present in the big meetings because of other prior commitment). This also helps others to read the document and comment in the meeting as well.
I believe this will make the entire process open, communicative and transparent. Also post grievance (‘post cognitive dissonance’ as I say in my field) later on is reduced among members as everyone had the opportunity to express their views.
Anyway just my two cent comments!

Thank you for your mail and valuable insights. I am just writing to let you know that Mahbub Vai’s earlier mail was sent in error and it was only meant for the members of the Ad-hoc committee that was formed (primarily involving the meeting attendees) on 1 January 2016 to facilitate the preparation of the draft constitution and selection of the management committee (MC), in an effort to formalising Geelong Bangladesh Society (GBS) as a registered community organisation. As per the current process, the ad-hoc committee will finalise the draft of the constitution as well as select an MC and put these as proposals in the general meeting (to be attended by all). The community members will then be able to provide feedback for amendment of part(s) of the constitution and the proposed MC. In any case, please note that membership of ad-hoc committee is not kept restricted or exclusive and anyone interested to contribute during the process is welcome to be involved. Please send your EOI to me if you are so interested.
On behalf of the Ad-hoc committee I would like to apologise for any misunderstanding that may have transpired with the earlier communication but I hope the circumstances are now clarified.

Thanks for the clarification. All I wanted to point out was distributing the draft constitution before the meeting takes place so that everyone has an opportunity to read it prior to attending the meeting and provide feedback (given it was sent to all). Reading the response, my impression is feedback will sought at a later stage as this is now pitched for the ad-hoc committee members only.
Anyway, I congratulate the ad-hoc committee for their work and the incoming selected MC.

An ad-hoc committee has been instituted following a meeting held on 1 January, 2016. The meeting held at my place, 64 Elizabeth St, Geelong West. The ad-hoc committee convenor and members were selected unanimously afterwards. Immediately after the meeting short details(mainly tasks and responsible person) of the meeting has been posted in Facebook page, those who are member of the page could have noticed it. The page says 49 people have seen the message!
I'm writing from my memory, pardon me if any point is missed and bring correction please.
Rubel Bhai has been selected as the convenor, Me(Mahbub) as the Member Secratry, Khalid Bhai, Omar Bhai, Komol Bhai, Mokhles Bhai, Mamun Bhai, Sayed Bhai, Joglul Bhai, Ibrahim Bhai, Adnan Bhai, Tohid Bhai, Shamim Bhai, Anwar Bhai, Mehedi Bhai as members(did
I miss anyone, please?). Ad-hoc committee membership was open, anybody wants to contribute in achieving ad-hoc committee objective would be considered a member. Accordingly, Ahmed Bhai and Huson Bhai is member of ad-hoc committee as well.
The main objective of the committee was to:
1. Prepare/Draft constitution document for GBS
2. Propose an organizational structure
3. Membership form and log design
4. Facilitate to form Management Committee(MC) for GBS
5. After constitution, form and logo draft is finalized, arrange a general meeting to form MC, dissolve ad-hoc committee.

After that meeting, as per decison, draft constitution was being circulated through email among the members presented on the second meeting. Shamim Bhai, Omar Bhai have put their comments on that draft copy. and finally Rubel Bhai has compiled the whole document and still in email circulation for amendment/accept/reject state.
yesterday another email was initiated asking convenient time for another meeting, but only a few response was received on that point(meeting date).
This is so far is the history and update of so called ad-hoc committee. I could have missed some points, correct me if so.

Probably it would be a good idea if someone could enlighten all of us at least on the ad-hoc committee; is it possible to let everyone know who are in the ad-hoc committee? I know I’m in this committee, but I truly don’t know the complete list of members. I think same thing applies to people who are not in this committee, some of them may even not know if they are in the committee or not. Also, it would be nice if the decisions taken in the ad-hoc committee meeting can be summarized and circulated to all GBS members.

Kids Islamic class will resume from this Friday. It starts from 6:30PM. So it is difficult for me & Joglul Bhai to join the meeting. If most of the members are available on Friday, meeting can be done. I will update myself from any one of the attendees.
