Hello!
I have been discussing the estimates given by you with Laddha Ma'am and Kashmira Ma'am. All of us are of the opinion that we do not need any professional event manager for this event. The cost will be astronomical and not fair on our parents.
We will not treat it like a fund raiser but only keep the fun-fair element in it. The event should be very low-key and enjoyable to all the
people involved- parents, students and staff.
Let us put up Christmas Carnival or Winter Fest for One Day Only
A few suggestions
- Primary classes will take care of all the food items and stalls.
- Secondary classes will organise the games and the music.
Food Stalls (grade 1 to 4)
- Food Stalls can be organised on the fifth floor terrace with simple tables that can be decorated by the parents of that class.
- Food can be prepared by the parents themselves or outsourced.
- 12 classes can have 12 different stalls or all three divisions of one grade can combine and put up one combined stall
Games (grade 5 to 10)
- the 5th and 6th floor classrooms can be used for the same
- three divisions of each grade (Grade 5 to 10) can share a classroom and put up the games stalls
- games stalls can be manned by students themselves with games that they can think of
- can have tattoo artists/ mehendi etc
Students will enjoy putting it up and also learn to handle money. PTA reps can monitor these students
Music (grades 9 & 10)
- Music can be arranged in the hall
- the orchestra and music can be live and conducted by the grade 9 and 10 student in rotation.
- can have a Karaoke/ live singing by students or parents
The entire event can be monitored and supervised by PTA volunteers
Entry Fees can be charged for entry.
Each games stall can charge a minimum amount of money for the games. students can rotate that money itself for prize winners
Food Stalls can be more expensive.
Music and orchestra can be free or charged.
Sponsorship for putting up banners and posters only can be taken if required
Use balloons and inexpensive streamers for decoration. can also have a Christmas colour theme for dress code
Our Main Concerns:
- The idea of collecting money from every student compulsorily does not go down well with us as we have never done it before. therefore, we would rather that the event be a simple fun-fair and nothing more. the funds collected from the stalls can be routed to the expenses of the event. the entry fee collected
can be accrued to the school against expenses of electricity, cleaning, house keeping etc.
-The neighbouring societies have been unhappy with the behaviour of our students especially grades 8,9 and 10. Recently there have been a couple of unpleasant altercations between our students and some of the residents of these societies. The school has had to apologize repeatedly on behalf of the rude and ill-mannered behaviour of our students.
Right now, both Laddha Ma'am and myself are not in favour of upsetting the neighbours any further. And if we do things on a large scale we are going to land in trouble again.
Today in fact I was going to call and inform you that the Fun Fair was cancelled as a consequence of the students behaviour. But i realized that this would be unfair on the younger students.
- I am aware that the PTA members have been putting in a lot of time and effort for coordinating the fun-fair. I am sorry that it took us so long to put forth our opinions to you. But since all of us are doing this for the first time, we were still trying to work out the logistics and feasibility of the same. Now that your estimates have come in, we are very firm that we would not like our parents to spend so much money on an event which can be done in a much inexpensive way.
- The suggestions that we have put forth does not need much pre-planning or huge expenses. Kashmira Ma'am and other co-scholastic teachers are willing to help out the PTA. Interact Club volunteers will also help out on the event day
To reiterate, the fun-fair should
be a simple low-key affair without any input from a professional, and not a fund-raiser as was initially planned.
