Tentative: GameTable WG1 Event - November 2024 - London

When: November 4 (and maybe 5), 2024

Where: London, UK


We are planning to organise our next in-person meeting for Working Group 1 (Search, Planning, Learning, and Explainability) of the GameTable COST Action in the beginning of November (4th, and maybe 5th), in London


Important: note that this plan is still tentative, and conditional on a Management Committee vote when we officially propose the plan for this event. Whether we make it a 1-day or 2-day event also depends on the budget, which we hope to have a better view of by the end of July / early August. Nevertheless, if you are interested in attending, you may already wish to block these dates in your agenda.


Exact topics are yet to be determined (hopefully with your input!), but for sure we hope to:

  • Make progress on investigating opportunities for collaborating on future grant proposals related to the topics of the Working Group and the Action.

  • Give young researchers a chance to show themselves and connect with established researchers in the field.


As always, we will be able to provide funding for travel and accommodations to some people, but likely not to everyone who would like to attend. If you are interested in attending, please fill in the following form (note that this is not yet a guarantee that we will be able to provide funding to you, but rather serves for us to get an idea of who would like to join):

Please also keep your PhD students and other young researchers in mind, and encourage them to attend if their work is within the scope of the working group.



Moreover, we plan to organise an online meeting before the London event. This would be a great opportunity to determine the primary topics of interest for our group.

Hereby, I would like to send a reminder (see previous mail below) to please

(1) fill in the form at https://forms.gle/QEm3ADFQGBDP4r8N7 if you wish to express interest in joining our meeting in London in the beginning of November, and
(2) respond to the poll at https://forms.office.com/r/U5kyZenMww to indicate your availability (if you intend to join) for a remote meeting at the end of September or beginning of October.

Filling in the first form does not guarantee that we will be able to provide you with reimbursements (we might have to make choices due to limited budget), but if you don't fill it in, we definitely won't know that you would be interested and probably wouldn't invite you!

For the first form, there is not necessarily a strict deadline (until we have filled up the number of invitations that fit in our budget), but we strongly recommend replying before September 7. That same date is also the deadline for the second form.

For those of you who are also interested in video games: a few days ago, it has also been announced that the AI and Games Conference 2024 will take place in London, only a few days after our event. You might want to take this into consideration for your own scheduling (though, of course, if we provide reimbursements at all, it will only be for the days around our own event).

Dear GameTable WG1 members,

Unfortunately, we have some bad news for the WG1 meeting we had planned to take place early November, in London. Our contact points at COST have informed us that we should not host the event on these specific dates, as there will be a high risk that they would not be able to process reimbursements. This would be due to administrative issues on their side surrounding the switch to a new Grant Period, and the signing of a new agreement they need to do with the European Commission.

Of course, we will still be organising a similar event, but we cannot risk doing it on the dates we had originally selected. We will keep you informed when we have new dates, and again ask you to express your interest then (as the new dates might affect whether or not you would be able to join).

We are also still looking to organise an online meeting sooner (in a few weeks from now), and will again be in touch when we have selected a date and time for this.
