Hey all,

This is the last email you'll get from me before the new president is elected tomorrow night. I'd like to say one last time that I've had a brilliant year working with you all! :)

So just to remind you, the AGM is tomorrow 9th of October at 7pm in JH1. We will be choosing the new charity and electing the new committee.

Tickets for the Galway Cycle Ball will also be on sale. You can still buy them online here.

We will also be voting in some constitutional amendments. They are as follows:

Article 2.4. While there are no limitations as to whom the beneficiary charity can be, tradition to date dictates that the chosen charity should be a children’s charity or that the funds raised be used specifically for a project that will benefit children. Who the beneficiary is and how well they are known will obviously affect to some extent the willingness of the public to donate.

Will be replaced with:

-     The charity will be an Irish based charity with proceeds being spent on projects on the island of Ireland. While there are no limitations, the charity shall be a children’s charity or the funds raised will be used specifically for projects that will benefit children.

Article 2.6. To organise several training cycles that will prepare cyclists for the ‘main event’ both physically but also technically (as there will be a large number of cyclists on the road).

Will be replaced by:

To organise several training cycles that will prepare cyclists for the “main event” both physically but also technically as there will be a large number of cyclists on the road. This would include a number of mandatory cycles.

Article 3. 1)    Membership shall be open to all students, staff and graduates of the university and guests who wish to participate in the cycle, at a nominal fee specified by the Society for the academic year.  The annual membership fee will form part of the requirement to raise sponsorship money.

2)    All elections shall be held by secret ballot.

3)               Only fully registered members shall be eligible for election to the committee and it is recommended that only members who have completed at least one cycle shall be entitled to vote.

4)              Membership cards should be provided for members.

Will be replaced by:

1.       Membership shall be open to all students, staff and graduates of the university and guests who wish to participate in the cycle, at a nominal fee specified by the Society for the academic year. The annual membership fee will form part of the requirements to raise sponsorship money.

2.       All elections shall be held by secret ballot.

3.       Only members are entitled to vote.

4.       The definition of a member is a person who has participated in a minimum of one Galway Cycle Weekend.

5.       All members are entitled to insurance appropriate to their involvement with the cycle as deemed necessary by the executive.

Article 4: The following shall be included:

Past President

a.       The outgoing president will reside as a contact and aide to the incoming president over the course of the year to assist with the organisation of the cycle and mentor the current president beyond what is written down.

Article 6. Any committee member who is absent from more than two consecutive committee meetings shall be automatically deemed to have resigned.

 Will be replaced with

Any committee member who is absent from more than two consecutive committee meetings shall be automatically deemed to have resigned unless previously communicated to senior committee members.

Appendix 1 - Capitation. At the end of the year: A list of the officers elected at A.G.M. for the next academic year showing names, addresses and telephone numbers - both local and home in both cases, must be delivered to the Student Services Officer.  The Officer Lists must be updated on Monday or Tuesday of the second week of October.  Any changes of personnel or addresses or phone numbers during the academic year must be promptly reported to the Student Services Officer. In the case of the Galway Cycle, the A.G.M. takes place each October and the names of new officers will not be available until then.

Will be replaced with:

Officers are elected at the first open meeting of October of the new year and not before this.

If you have any problems with the proposed amendments please let me know or you can choose to vote against the amendment at the AGM. I have attached a copy of the original constitution as well as the updated version.

See you tomorrow,

Emma.
