Dear District Council Members,

 

After 9 months hard working, facing challenges and experiencing ups and downs, it may be a good time to summarize what you have accomplished, refocus what needed to be done and look for successors such that you and your team can celebrate a victorious ending.

 

Apart from that, you as a member of district council also have an important duty to fulfill which is attending the District Council Meeting to be held on 24 May 2013 at 10am in Guangzhou, Crown Plaza Hotel.

 

Our district holds two District Council Meetings each Toastmaster year and one in spring conference and the other one in fall conference.

 

District 89 Council voting members are: the District Governor, Lt. Governor of Education and Training, Lt. Governor of Marketing, Immediate Past District Governor, Secretary, Treasurer, Public Relations Officer, Division Governors, Area Governors, Club Presidents and vice presidents of education. A quorum of one third of club presidents and vice president of education and training is needed. 

 

Each club president and vice president of education in attendance is entitled to one vote. However if either or both officers cannot attend, they may designate, in writing, any other active member of their club to act as proxy or proxies for their club (use the attached proxy form).

 

Each district officers, including the District Governor, Lt. Governor of Education and Training, Lt. Governor of Marketing, Immediate Past District Governor, Secretary, Treasurer, Public Relations Officer, Division Governors, Area Governors, in attendance is entitled to one vote. But district officers cannot designate proxy if absence. 

 

All of you need to go to credential desk to get your voting ballots before you attend this district council meeting. You would get the Hangzhou Conference & Chengdu Conference VCDs at the same time. The Credential desk opens at the following time:

ü  23 May, 2013 (Thu) 20:00-21:30

ü  24 May, 2013 (Fri) 9:00-10:00

 

From time to time, we will send you latest information and summaries for your reference. During the meeting, you will hear reports from district officers; understand the latest district development plans, select new district leaders, vote for next conference venue and recognize many more necessary and important affairs in district.

Please reply by 25th Apr 2013. Please try your best to attend this meeting to cast your vote on behalf of your club. If you cannot attend, please assign a member of your own club to be your proxy holder. Your proxy holder must bring a printed proxy to the meeting.

1， 89大区2012-2013年度第二次大区代表会议将于2013年5月24日在广州峰会召开。会议议程参加附件一。

2，大区代表包括：俱乐部主席、教育副主席、小区区长、中区区长，以及大区干部（前任大区主席、秘书长、财务长、宣传部长、市场副总监、教育副总监、大区总监）。

3，请您尽量出席大区代表会议，代表您的俱乐部投票。如果您本人不能参加，请授权给你们俱乐部的会员。被授权的会员必须是你同属一个演讲会，且必须持有纸质签字的委托函。委托函格式见附件二。

4，所有大区代表必须在指定时间内到credential desk领取自己的选票，主席和副主席可以凭大会铭牌前往领取，被委托人需持大会铭牌以及书面委托函。领取选票的同时，您将获得杭州峰会VCD（每个俱乐部限领一张）。请注意，授权书不是选票，不能替代选票。

5，到达峰会会场之后请留意Credential Desk的标识。Credential desk的开放时间为5月23日晚上8:00pm-9:30pm，5月24日上午9:00am-10:00am.

6，领取选票的同时，将获得2012年杭州春季峰会、2012年成都秋季峰会的VCD。
