Meeting Minutes for December 2

Dear All,
Here are the minutes for last week's FOLISF meeting.  My apologies because I thought that these were sent out earlier in the week and turns out it didn't work.

Meeting Called to Order at 6:45pm

I.  Introductions
     a.  Scott explained the absence of Antoine, Katelyn and Camile
     b.  There wasn't a need for a timekeeper because the agenda was so light and time restraints were suspended for the purposes of unfettered discussion of BUYS HE.

II.  The Agenda was approved unanimously

III.  Marketing and planning for the BUYS HE
     REHEARSALS.  Tim reported that the rehearsals have been going very well.  He will have an opportunity to rehearse the show in it's   entirety on Wednesday, December 12.  After that he will have another opportunity on Saturday December 15 to rehearse the cast one final time prior to showtime. 
     SATURDAY DECEMBER 15th.  Call for Tim and Scott is 1:00 pm.  They will begin setting up the entire space including the hallways, lobby, signage placement, sign in tables, and any other physical setup required outside the pre-show setup for the performance.  4:00pm - Cast call.  THe cast will meet with Tim and run the show once.  Tim will have time to make minor adjustments in the space prior to the audience arriving.  6:30pm - set up the food and the raffle table.  7:30pm - The stage will be clear of all non-essential company members as the house will be open.  The raffle begins and food is served up until the start of the show which is loosely around 8:10-8:820 pm.  The show begins and at it's conclusing the winner of the 50/50 raffle is announced and the remainder of the food will be served.
     FOOD.  Light holiday themed sweets will be served with coffee. 
     DISPLAY IN HALLWAY.  There will be a simple display of the history of the LISF placed in the hallway just outside 119 and the lobby area by the ticket office.  There will be past production photos, history and mission of the LISF and BUYSHE cast bios and headshots (if available).  There will also be a tribute to our dear friend David Lopicolo who, tragically, passed away last week.  The committee will ask Camile if it's possible for her caroling troupe to entertain the audience pre-show. 
     RAFFLE.  The committee decided that the 50/50 raffle will suffice for the evening.  The SHakespeare Game is very successful and entertaining, but, we don't want to have both the game and the raffle so one competes with the other.  Plus, we decided that we don't want to give away more money as a prize. It would be better if we had something to give away other than money.  Also, because there was no one at this meeting that could run the game, we cut it.
     DESIGN FOR 119.  Charlie will take care of the stage floor and the masking during the week prior to the performance.  He will simply tie it in to the strike of the performances that will take place in the space next week.  The benches will be ready for show time and Tim will accompany Charlie into prop storage post meeting to locate the lamppost that he hopes he can use.  Costumes are whatever the actor has at home that is holiday themed. 
    
IV.  WEB DESIGN PART TWO.  Nothing to report.

V.  Open Agenda.
     Scott announced the resignation of FOLISF's founders:  Antoine, Tim and himself.  He spoke of his thankfulness to the committee for their hard work thus far.  The three of them are proud of the work that has been completed to date and look forward to hearing about future successes.  In order for the committee to thrive, Scott left as his only piece of advise, continue to develop the true mission statement for the committee so that it will be easier to plan projects and achieve goals.  Antoine Tim and Scott will continue on to grad school, grad school prep and new career endeavors.
