I wanted to pass along an update on the outreach effort we sent out last Thursday on behalf of FOSS4G-NA.  That effort followed up on placing information about FOSS4G-NA in GITA’s News Hub that went out to 10,000 folks, and an E-Announcement by MN GIS/LIS that went out to apx. 2,000. 

 

There were basically three boiler plate emails sent out using tailored distribution lists:

 

1.       To individual FOSS4G Denver attendees, minus anyone not residing in North America, minus anyone already signed up for FOSS4G-NA 2013.  That email went out to 606 individuals, 64 bounced, for a total delivery of 542.  162 have opened the email.

2.       To potential sponsors from the spreadsheet on Google (original + FOSS4G Denver sponsors + entity of anyone speaking at Minnie), minus anyone who was already a sponsor or definitely had already said no.  That email went out to 57 remaining potential sponsors, 4 bounced, 18 opened the email.

3.       To other organizations and individuals who potentially could help spread the word about the event.  Sent out to 69 individuals that Blaine and I had identified, 5 bounced, 18 opened the email.

 

As the LOC sees fit, we are now able to send future emails with very little effort to any of the three groups listed above.  Overall 30% of the emails were opened (considered about 3 times average for this segment of industry) and 30% clicked through to look at event links (also considered an above average result).     

 

Per sponsors - I’ve updated the Google spreadsheet to reflect the above sponsor results.  Based on that review, past history, and the reaction to efforts to date as recorded on the spreadsheet, it appears the following sponsors listed below hold the highest potential for still coming onboard.  Following each is the individual who had previously contacted the potential sponsor, or a notation if the April 18 email was the first contact:

·         East View Geospatial - ?

·         GeoCat - Ramirez

·         GeoSolutions - Ramirez

·         GeoTech Center – April 18 email

·         Newmount - April 18 email

·         Open Technology Institute – April 18 email

·         Ubisense - Bitner

 

And, the following sponsors appear to hold good potential:

 

·         Berico Technologies – April 18 email

·         Excensus – April 18 email

·         Heroku – April 18 email

·         Moonshadow Mobile – April 18 email

·         Waze – April 18 email

 

Does the above align with what others might know?  Thoughts on how to bring more sponsors onboard?  When does a sponsor need to be onboard so they can make the program publication cutoff date?

Awesome work. I'll take the action to recontact the ones I've previously contacted. Any overall thoughts on how to get them to buy in other than just a touch up email from where we stand on the conference. Also did Steve have notes or mention why specifically he thought those were good follow ups? The reason I ask this is if its due to past participation, talks this year, or something else it would be good to mention that in the follow up.

Paul,

To the extent there can be any science behind something like this, the approach I took in building a sense of who is still out there as a potential sponsor goes something like this:

 

Look at the left most column of the spreadsheet.  X means the company sponsored FOSS4G Denver, and a green block means the company has a speaker at FOSS4G-NA.  Mix those elements with who opened last week’s sponsorship request email and I developed a sort of “two out of three” sense of interest.  That could be completely out to lunch – but that’s my best stab at it.

 

As I have time this week, I will do my best to personally follow up with “April 18 email” folks that have not been previously contacted.  I will list any contacts I make on the spreadsheet so others will know if someone has not yet been contacted.  In that case, please feel free to jump in….  In case you don’t have the link, here it is: https://docs.google.com/a/sharedgeo.org/spreadsheet/ccc?key=0AsCkQzPtVME8dEJJa3NfbXN1TTE3X0ZVQjZyM3Rvd3c&usp=sharing

 

I think it’s important to stress that unlike professionally organized events, the sooner we get commitments from both sponsors and individuals that take us the final distance to fiscal solvency, the easier it will be on the VOLUNTEERS who are trying so hard to make this thing zing for the benefit of all.  So, time for folks to step forward (by registering/sponsoring) so the money issue quickly becomes a nonfactor.  In other words, let’s front load the post “earlybird” registration period and coast to the finish, instead of waiting for the flood in the end (as has always been the case in the past).
