Dear Forest Creek Homeowners,
This letter serves as official notice of the 2026 Annual Meeting of the Forest Creek Homeowners Association,
scheduled for Wednesday, January 28, 2026, at 6:30 p.m. (Sign-in begins at 6:00 p.m.). Location: Forest Creek
Elementary School - 3505 Forest Creek Dr. Round Rock, TX 78664
We strongly encourage your participation in the meeting and in the Board of Directors election. A quorum of ten
percent (10%) of homeowners is required in order to conduct business at the Annual Meeting. If quorum is not
achieved, the meeting cannot proceed and must be rescheduled, which results in additional costs to the Association.
If you are unable to attend in person, please submit your proxy to help the Association meet quorum requirements.
Proxy Submission Options:
1. Online Proxy / Vote (CiraVote): Homeowners may submit a proxy online through CiraVote either to vote or solely
for the purpose of establishing a quorum. All proxies submitted through this system will be counted toward quorum
and are irrevocable. Only one (1) proxy or ballot is permitted per lot. The managing agent will accept online proxy
submissions until the deadline posted in the CiraVote portal. This online process is expected to close prior to the
meeting date. If you do not receive an email invitation or if we do not have your email address on file, please contact
us at FORC...@CiraMail.com for assistance.
2. Email or Mail Proxy: Must be received no later than January 26, 2026. You may also submit a completed proxy
form (sent via email or mail) and assign your proxy to a third party.

Board of Directors Election: This year, two (2) Board of Directors seats are up for election. A Call for Board
Candidates will be distributed via email, the online voting platform, and by mail. If insufficient nominations are
received prior to the meeting, nominations may be accepted from the floor. All nominees must be present to accept
the nomination or must have submitted written consent to serve in advance.
Election Information: Electronic voting will be utilized for this election. Voting announcements and instructions will
be published on the CiraNet Resident Portal and distributed via email communication. Homeowners may submit their
own name as a write-in candidate through the CiraVote platform or submit a candidate nomination form to
management so it may be added to the CiraVote system. Candidate information may also be posted on the
Election Results: Election results will be announced at the Annual Meeting. Directors will assume office based on
the number of votes received.
