Replies not showing up in tracking

I'm new to this. I made a request, then got a reply from the public information officer that went to my personal email address. But I don't see that communication from the PIO showing up under my request in the FOI Machine. What am I doing wrong? If I'm sharing my request with others, I want them to be able to see the reply through the FOI Machine.
