Providers -
CBIS ran another successful billing cycle. However, many of you are
still having issues with CIMS or other CBIS issues and I wanted to
take time to address them. Hopefully, this will help you for future
billing cycles.
CIMS:
ISCs or PSCs CANNOT enter any IFSP Extension Requests or Record Review
Approvals via CIMS. You must send a copy the Record Review letter and
the traditional CBIS summary sheet indicating how the IFSP team is
distributing units. Do not send us a printout of the CIMS screen
saying you could not enter this on-line.
Also - please make sure to send all PSC extra units, the 3rd Birthday
extensions, and Record Review units to CBIS. I would prefer that they
are still handled here. Make sure to mail them to the CBIS address or
fax them to:
502-852-8049.
You CANNOT do deletions via CIMS. We have addressed this issue at
least three times, and we continue to get calls and e-mails about it.
You must send in the traditional summary sheet with the deletion line
filled in at the bottom.
IF you cannot get a summary sheet entered into CIMS, DO NOT send a
copy of the printed out CIMS screen. You MUST send CBIS a traditional
CBIS summary sheet in those cases. I am going to start returning CIMS
forms that have been printed out. You do not even have to indicate
that you could not enter this via CIMS - but you need to send the CBIS
summary sheet.

Providers - PLEASE do not wait until the last minute to do your CIMS
billing on-line. Because of the way the system is set-up, you can
enter information until the day before the posted Run Cycle/Billing
Cycle date. I would encourage all of you to have everything in by no
later than 5:00 PM EST on that day. CBIS is not responsible for
billing that you entered at 11:00 PM that night that did not get
posted to our system. And we are not responsible for resetting or
giving you a password on that day before the billing cycle.
IF you need a password for CIMS, contact us no later than the posted
cut-off day. I will not guarantee that you will receive a password if
you contact us after the posted cut-off dates. My responsibility is
to get the billing cycles run so that providers get paid. Anything
that deals with your pay or another provider's is not the time to
procrastinate and wait until the last minute.
