Dear Team,

As discussed with Vinayak and Gurunath, we (Team Prayaag and Team Strategym) would want your help in the following case.

ONGC was our sponsor for Prayaag and Strategym. Now ONGC has a policy of maintaining only one vendor account per college. Currently they have yours in their system and are unwilling to change/add new account.

We have been given deadline to submit related documents by Monday. It would be of great help of you guys could provide us with the following:

1] Cancelled cheque (with account name on it)

2] Pan Card xerox of the same account

3] Soft/Hard copy of letter head of your committee

We ensure you that we will provide details of expenditure as is your requirement by submitting related bills/invoices.

We have not received the documents.. I was informed that we have to get an approval from ongc.. i have mailed for the same to ongc.
But in the meanwhile if we are provided with the documents tonight, we can submit the same by tomorrow.. We need to submit the documents to ongc at the earliest. I dont think they are going to hold any longer..

As you required a physical cancel cheque of our exe accounts, we would be providing it to you by tomorrow at campus.

 

Will share the accounts detail in separate mail to Monil & Mayuresh.

 

There are certain point which still need to be clear:

 

1) TDS Part.

2) Letter from ONGC stating clearly that this Amount is for Prayaag and Strategym for MMS or Full Timer's JBIMS.

 

 

We will discussion above points tomorrow around 7.30PM.

Hi Ravi,

Extremely sorry for this delayed reply.. I was out of town for a week and then this just skipped out of my mind.

Ideally the ongc sponsorship money should come within 45 days of document submission.. I still check with the concerned person and will update you guys.

Hello Rohan,

We have experienced in past that ONGC pays after deducting TDS.

If in your case too this happens & you shall follow-up for the TDS certificate from ONGC; then request you to inform us too as we are in talks with ONGC to get TDS certificate of one of our events 'Pratyaksha 7.0' but not able to get through yet.

We are waiting for the new cheque book which once received, we shall release your Event credited money through cheque immediately.

Till then, requesting you to arrange for your committee Letter Head with Authorized Signatory and handover the same to us when we give you the cheque.

Pls find below mandatory details reqd to be written in your letter:

must be addressed to: "JBIMS Exe Executive Committee (JBIMS, H.T.Parekh Marg, Churchgate)"

Subject: "availing the sponsorship amt recd by your committee from ONGC for our MMS event _______"

Letter body mention: "kindly arrange for releasing the amount recd through sponsorship from ONGC for our MMS event ______. We understand that out of sponsorship amt of Rs.1 lakh, you have received Rs.98000 (after deduction of 2% TDS by ONGC). So request your goodself to release Rs.98000 at the earliest. The amt was credited into your committee a/c on 2nd July'14 vide ref no. NEFT-SBIN514182731324-OIL AND NATURAL GAS"

Hi Ravi,

I checked the below email from MMS and wondered that this thing is yet pending!

We were not able to handover their money due to old committee name cheque book. But new book has been recd during P8 (2 months back).

Can we know the reason for delay in just handing over a cheque leaflet & the what abt the unnecessary TDS cost that Exe wil have to bear for this?

Actually I shouldn't follow-up (being non-AOP member & no more a signatory) but I'm only pointing out bcz I was head-finance during that time.

Hope this will be closed shortly & TDS will be accounted in your annual ledger.

Jinkal- you & Ravi work towards closure asap.

Dear Ravi/Exe Team,

This is a gentle reminder. 

Please release the sponsorship amount (INR 49,000) as mentioned in the mail chain. We have to meet commitments and are falling short of funds.

Also, please forward contact details of current POC as the previous Cell No. seems to be out of service.

If transfer is an issue, we are willing to present the details of expenses with copies marked to the Director so you said expenses can be verified. As ONGC has already transferred the amount to you, transferring the said amount to the Strategym A/c should not ordinarily be an issue that requires 6 months.

Please respond ASAP.
