b)While I respect your opinion on point 2 of my mail, I would like to offer a rationale which you might want to table when you take it up for discussion in the Board meeting.While the numbers are presented in the accounts , the numbers per se in the way it is presented in the financial statements might not be easily comprehended by a majority of Rotarians. It is in this context that the story behind the numbers if presented makes for better comprehension and analyses. One way of doing it is also for the Past Treasurer/IPP to make a presentation on the numbers before adoption of the same by the general body
c)As regards keeping the business meeting a separate one,my limited point was that there should not be any perceived or real constraint of time imposed for a meetings such as this which takes place once a year. Assuming that an explanatory presentation is made as suggested above, it would only require more time to be set aside for the meeting

c. Again your opinion in point C has been noted. We had any way intended to adjourn the meeting after the business meeting and all questions have been satisfactorily answered. There is no question of constraints being put at the time available.

Dear Vijay and Vivek,
I am writing this mail with regards to the captioned subject .
a)While I have perused the accounts , my understanding is that a meeting of the members is called to review and approve the Financial statements of the RCB and RCBCT for the preceding Rotary year.
While I am happy to see that the RCB accounts have prepared for the Rotary year, the RCBCT accounts presented are for the Fiscal year and not the Rotary year.It therefore does not give us a good picture of the last quarter of the Rotary year i.e from April 1 to June 30th.It would therefore be appropriate to circulate a set of accounts for RCBCT for the Rotary year i.e 1st July to 30th June with corresponding figures for the preceding Rotary year for us members to objectively understand the period under review.
b)Given that the scale and complexity of the operations of RCB and RCBCT have only increased over the last 5 years , I think it is appropriate for an explanatory statement / discussion note to be addressed to the members from the Board of Directors highlighting salient points of the financial statements , to be attached to the accounts prepared by the auditors.
c)Finally, I have noticed that you have clubbed the business meeting with a regular meeting. My view is that while it puts a needless constraint on the time available for the business meeting, it is also a signal that the business meeting is not viewed as important enough to be part of a standalone agenda for the evening, thereby reducing member involvement in what is already low involvement activity. While this was done last year as well, may I request you to not continue with this precedent as it does not bode well for the club's long term interests.
