Hey guys,
With the Pathways integration this week there have been lots of
fun changes! This email is specifically concerning the new credit card
machines up front. I'm sending this to the whole staff because I know
care coordinators aren't the only ones who get to deal with these
machines and it's important everyone's on the same page.
First off, when running a card that asks for the client to enter
their pin, ignore that message and instead press the red X telling the
machine to run the card as credit. This doesn't affect how the
customer is charged at all and it will be a lot easier on the care
coordinator at the end of their shift. Care coordinators, we will talk
more about this at our next meeting (long story short, it makes
close-day funky).
Next, until further notice we will not be accepting personal
checks as a form of payment. The new machine in the ER doesn't have a
check reader like the last one which means we will have no way of
electronically running it like before. The only exception to this is
well-established rehab clients (as we always have done).
Next, we noticed today that entering in a card number manually
asks more information than before (i.e. expiration date, CCV, zip
code, PLUS their address number). Be aware of this when taking down
payment info over the phone or for future use. Jamie and Maggie will
probably be deciding on a more secure and consistent way of doing
this, so stay tuned for that.
Last, and I know this one pertains mostly to care coordinators,
keep in mind when you're doing close-day that the ER and rehab
machines are now the same, meaning the receipt paper is identical. If
you can't figure out the difference, ask a rehab cc to look at the
transaction details, as there should be several charges for typical
rehab appointments.
