District Re-Alignment
I am privileged to coordinate our District 20 Re-Alignment for 2013-14. I thank for the opportunity given to me by District Governor and the entire team. I am looking forward to working together with the leadership across our District to complete this task
The District Alignment Committee is formed to look at the district’s alignment and put forward a structure for the next program year. The objective of the alignment is to ensure that services to the clubs is in the most effective way possible and meets the TI policy requirements.
District must review and amend, if necessary, their alignment of the Clubs, Areas, and Divisions once each year and the activities for the coming year should be planned and put up for approval of the district council at its annual business meeting in May 2013. Changes cannot be made after the approval by the council, so it’s important to ensure that the alignment is correct and will be effective throughout the next year.
Things to Consider While Aligning:
1. Remain within Toastmasters International policy
2. Each Division must have a minimum of 3 areas
3. Each Area must have a minimum of 4 clubs and no more than 6 clubs
It will be important to consider club growth as well as club loss when thinking through a possible alignment. An Area with three clubs may be considered if efforts are made to charter a fourth club. Keep in mind, when an Area has less than four clubs, you should be concerned about long-term growth potential. Under no circumstances shall an area have fewer than three clubs.
4. Geographic aspects- i.e. Clubs closer to each other to be aligned under one Area. Closer proximity will help Area leadership to serve the clubs better
5. Discuss potential changes with current District, Area and Division leaders wherever necessary. It is important to obtain agreement of all concerned, so that there is no discord later
6. Strategically align the Clubs within Areas and Divisions with focus on the benefits for all. Communicate the alignment with all concerned.
7. Other Important Considerations:
o Align newly-chartered clubs to the Area that makes geographic sense and will maximize service to the club. Beware of aligning a club based on who helped charter it or who the sponsors and mentors are.
o Advanced clubs or other clubs that have members sharing a special interest cannot be segregated into separate Areas and should be integrated with other clubs.
o Clubs that charter after the alignment is approved by the district council and prior to June 30 as well as after July 1 must be placed into existing Areas.
Timelines: 31st March 2013 is the timeline to submit your proposals. Working with the Division / Area/ Club leaders prepare the alignment proposal and provide it to the Re-alignment committee for review. If questions arise during the process, feel free to contact me or District leaders. Please make sure that appropriate notices to Areas and clubs are given and obtain their consent formally.
Please find attached herewith your Division’s Area/ Club Alignment Chart as of February 2013 for ready reference. I will be in touch with you personally to discuss and finalize the proposals.
