Dear Toastmaster,  

TAC Q 2013, is an event celebrating our transformation to a better communicator, leader and ultimately a better human being. And amidst all these celebrations, we should not forget our responsibility towards the community and therefore, we must do something for people who are less fortunate. 

To help such less privileged brothers & sisters, we thought of utilizing this opportunity and donate some clothes to Qatar Charity on 19th April 2013. Qatar Charity will be placing their boxes at the school premises, So I kindly request all of you to please bring as many  New or Used clothes (of any age) as possible on 19th April but make sure that they are in good condition, not the torn, dirty or crumbled ones. Even If its for charity, lets try to give the best to them.

The box will be placed at the entrance, so that you all can put the clothes when you arrive at the venue in the morning hours.

Please let us join our hands to help few souls. 

Division E looks forward to a great response.

Thanking you once again for your presence at DPS MIS on Saturday for the briefing ...that too on time

Few of the team members could not join us due to their official schedule & few Gavaliers due to Tuitions.

Hence I am attaching whatever we have discussed there in the briefing so that we all are in sync from now on. Any further changes in the below will be intimated to you promptly.
For any queries on the below you are requested to contact me on 55802908 or AG Shyam on 55453106

Instruction to Welcome & Registration Team members

Please be present at the venue by 6:15 am on event day

Please take positions according to your counter allocation by 6:25 am

Necessary materials will be provided from the counter

The main duration of Registration task will be from 6:30 am till 8 am. From 8 am till 11:30 pm only few counters will be operated, manned by Gavaliers in turns. Thereafter contact names will be provided on the Registration desk for the latecomers to contact for necessary registration purpose.

By 11 am whoever is leaving the counter, will need to hand over the Registration details to myself/AG Shyam

You will be kindly requested to keep your mobile phones in silent mode during this time & attend to only emergency calls of any nature. Washrooms are available in the Registration Area itself.

Breakfast will be served from 6:00 am in the morning .So the team can either have it prior to taking.their positions by 6:25 am or later by taking turns with the counter partner.

The Registration process will be manual.

An list of all paid registrants will be given based on the counter designations

When an attendee approaches you, first Greet the person with a smile & welcome him/her to the event. Then ask him/her
1. Serial No  2. E ticket No  3.Name 4. Club  5.Area (For Identification purpose).

Once the name is located in the list, mark the entry & provide him/her with
1. Identification Tag  2. Souvenir  3.Meeting Agenda  4. Pen  5. Surprise item as mentioned by DG

How: One person can check the file & the other person can handover the ID, souvenir, agenda, pen & surprise item

Then you may request the person to proceed towards the stairs for another surprise & then to the Breakfast Area upstairs

If you do not find the name of an attendee  request him to approach AG Shyam who will be present near the Guests/On spot counter

Whenever you get free time please note down the total no registered so far…say in 30 min intervals

Please do not leave the counter EMPTY & Never leave it with a single Gavalier.

Dress code: Be colourful & be pleasing to all…Smile is the best medicine

Finally handover the Registration sheets to committee chairs myself/AG Shyam

Further to below mail, please find attached Route map on venue DPS-MIS with regard to our meeting for today @ 2:15 pm

The plan is to meet at Gate No.8 of DPS-MIS School, Wakra by 2:15 pm & then move together to the Basement Parking and then to the Registration Area

We have added few more Gavaliers as part of the registration team.The final list along with counter allocations can be found below.

As many are taking break from their office schedule / other commitments to attend this,  I request everyone to be there by 2:15 pm sharp.

A BIG THANK YOU to all of you for your commendable support during TAC-Q 2013 at the Registration & Welcome committee

First of all, I must appreciate your readiness in taking up the role & then being there for the briefing right on time.

Further being there at 6:15 AM  itself was a display of your commitment towards the event ...towards our Division.

The entire team comprising of  Toastmasters representing all Areas & Gavaliers representing various Gavel clubs had carried out their tasks extremely well, handling the respective counters professionally, acting swiftly when needed & keeping your temperament to sooth a couple of agitated minds, yet adhering to the registration rule book all the time.
