Dear Coordinator,

We're currently proceeding to the evaluation of your Final Report.  However we are unable to conclude the evaluation of the Report due to missing or incomplete information.

According to Article I.4.2 of the Agreement, the Agency shall have 90 days to approve or reject the Final report and to make the payment from the date of its receipt. The said document has been received on 26/04/2013 and should therefore be approved or rejected by the Agency before the 26/07/2013 at the latest.

Regarding the confidential reporting, you are requested to submit the additional information or to provide substantial proof that the outcomes have been included in the final report.

It would be important that the consortium provides more information on the project outcomes (including their achievement rates, language of delivery, nature and impact). Where there are more outcomes under one heading, it would be important to see the separate outcomes, e.g. it is currently unclear from the report how many events were covered by the Dissemination workshops outcomes and when each of them were delivered. 

The project report does not currently list any deviation from the planned work programme, however, it is clear from the public report and the website that some of the activities underwent change (e.g. more courses were developed than originally planned, the library section is not available). As the project consortium has not attached details on several deliverables it is unclear from the report to what extent all the activities were carried out according to the original project plans. Please clarify.

In particular, the project should enclose with the copies of all main project products and results, the following documents:

• minutes of the project meetings,
• agendas/feedback forms and attendee lists of the three project workshops and two conferences,
• the project Curricula Plan,
• the Internet Platform Plan,
• results of the pilots courses,
• the Dissemination book,
• the Exploitation plan,
• the Quality Guide and the Evaluation report.

 

In addition, more specific information is needed on the Involvement of Partners under point 5 of the Confidential report form.

 

Furthermore, access to the online course syllabus and course details should be provided by including a username/password in the Report that gives access to all uploaded information. 

Consequently, and in accordance with the provisions of Article I.4.2 of the Agreement, the Agency hereby decides to suspend the delay for the payment mentioned above from the date of sending of the letter in reference.

You are therefore requested to submit additional information above mentioned within 10 calendar days from the date of the communication in reference, i.e; the 16^th May 2013, by email to this address.

The time limit for payment shall continue to run from the date of receipt of the requested additional information and/or report(s).

The exploitation plan is there, but it is titled "5. Plans for the Future". Changing the title should do it?!?!

I also notised that the commission is expecting students feedback forms. I don't have any, but if it is of any help I attach four feedback documents:

Originally planned to edit the feedback in a nice report but run out of resources.

I hope this helps and is enough. Have worked again too much, stupid as I am, and didn't take care of my health enough, so my nerve paths got pissed off again and I'm on sick leave since last week after hosting a 50 people 2 week European workshop. (My performance is really low, it took me 4 hours this morning to write the minutes and collect the feedback documents.)

Hope you all are well and fit to complete the project report. It is of prime importance if we wish EU would fund EVA II.
