Further Requirement and Flow Chart needed based on the following Questions

Before and After Process with respect to following statements

1. Time Required to send examination forms to head office for
processing ?
2. what is the internal Process of head office after recieving
Examination form from regional office and in case if it is directly
submitted to Head office?
3. How did Head office respond back to regional office if the
application processing os successful and weither any further
assistance is required?
4. Who takes the recieving at both ends?
5. What are the Departments Involved in this process and people as
well?
6. What is the institute background ?
7. How did they inform students about the examination ?
8. how did they send admit card to the students ?

there are many other questions as mentioned above
A quick Survey willl be Beneficial and will help in Better
Understanding .

regional offices sort out those forms and entered each form in their record.(excell sheet was maintained for this purpose)
before:minimum 15 days.
after>>this phase of work is cut out from the regional center because no form submit at RC
 now the form recvd to head office just at that time when the candidate submit online.and Rc also informed on that time .

2. what is the internal Process of head office after recieving
Examination form from regional office and in case if it is directly
submitted to Head office?

before>>the examination forms recvd by finance department(in both cases) in head office and checked whether fees challan or payorder attached or not on every form
then examination department persons went to the finance department and sort out the forms city wise.total time expand 2-7 days on this process. 
After>>now this procedure  is automatically.

3. How did Head office respond back to regional office if the
application processing os successful and weither any further
assistance is required?

before>>head office respond back to candidate as well as regional office via acknowledgment letters(TCS),some times candidate didn't recvd the letter or some time not.and the regional
after>>head office informed to candidates and RC through Email,SMS service(to candidate).
centers shown irresponsibility in this way that they destroy that letters some where else or misguide to the candidates.

4. Who takes the recieving at both ends?

before>>Regional office's exam department(2-5 person of each city's regional center),Head offices's Finance(3-5 perosns) and Exam department(5-10 persons)
After>>Regional office's exam department(1 person of each city's regional center),Head offices's Finance(no person deploy specially for this purpose coz this process is work automatically  ) and Exam department(2-3 persons)

6. What is the institute background ?
7. How did they inform students about the examination ?

before>>student visited to Reginal center's then they know about the examination dates etc.

now>>candidte infrom through email and website also update on daily basis.

8. how did they send admit card to the students ?

before>>through mail.(OCS,TCS ect).

 now>>all admit card sent to the RC so every candidate go to their chose RC and recvd thier admit card.and a soft copy also send on their email address.

draw a flow chart of the Previous and Current Process for our better
understanding .
this can only be done if we have the proper knowledge of process
