re-integrating previously restricted emails

Hi,

 

Can someone walk me through their workflow for re-integrating previously restricted emails into a collection? 

 

I had previously exported the restricted messages separately as both MBOX & EML using the Download Messages feature from the Export page in the Processing Module.

 

If I need to now add them back to the Collection, would I do so by re-importing them in the Appraisal module and adding them as a new accession in the Processing Module? To add a new accession to an existing Collection, do I need to still have its folder from the Processing Module (normally I delete this once I'm done processing and am happy with everything in the Delivery Module).

 

It is my understanding that these restricted messages do not get included when moving from Processing to Delivery.

Hi Emily,

That is correct - any messages with a restriction label do not get included in the export from the Processing to Delivery Module.

The easiest way to un-restrict messages would be go back to the collection in either the Appraisal or Processing Module, remove the restriction label from the messages and then re-export the collection to the Delivery Module.

If you did not keep either the “epadd-appraisal” folder or “ePADD archive of ______” folder that you worked with in the Processing Module, then you could do what you suggested to import the .mbox file containing just the restricted messages and then remove the restriction labels.

Thanks Sally – this is helpful to know. I will make a note in my local documentation to keep the folder from the Processing Module if there are restricted messages, as it seems handy to have it to re-integrate the restricted messages at a later date, if needed.

 

One other question – to add an additional accession to an existing Collection, I must also keep the Processing Module folder of the collection, correct? So in general, it is best practice to keep the Processing Module folder, unless I am 100% certain there will be no further accruals?

Hi Emily,

If you have done any work in a module (like adding labels, editing the addressbook, adding comments), I would recommend keeping the corresponding folder (epadd-appraisal or epadd-processing) in case you need to go back to do additional work. That could include adding new accessions, removing restrictions from messages, etc. It is additional data to store, but if you think you might have to go back to a collection to do any of this work, it will save you a lot of time!
