email access policies/workflows

Hi all,

This is less a question about ePADD and more a question about email access generally, but this seemed like the best group to ask.

We're currently using the accession and processing modules of ePADD but don't have a documented access policy or procedures for email. We somehow haven't had any requests for email access yet, but those requests are coming and I'd like to have a solid plan to handle them before they get here. 

If anyone could share how they're providing access to email I'd appreciate it! We're a small institution, so I'm especially interested in workflows without a VRR or even ePADD's discovery module, that would use tools we already have.

Hi Sarah,

We don't have robust policies and procedures for email, but I'll share what we do have. We have 3 processed email collections, two of which we make available via the ePadd delivery module that patrons access on a desktop Mac in our reading room. Below are the brief procedures for public service staff to set this up for users to access. These collections are also discoverable through Stanford's ePadd discovery site- see them here (thanks to Sally DeBauche!). 

We also have another email collection available as PDFs. This we plan to treat just like any other born-digital collection when people request access. In other words, they would need to come in-person to review the files on a dedicated computer in our reading room (or request access to specific files if they can't do that). Attached in our in-progress guide for using born-digital collections, including our BD access policy.

To open the collection:

  1. Open the ePADD application from the dock at the bottom of the screen

  2. If prompted, Allow incoming connections

  3. In the browser that opens, open the Bookmarks menu

  4. Open the bookmark “ePADD switch module”

  5. Select “Delivery” from the dropdown menu

  6. The UCSC email collections home page will appear.
