Operations Manager

ABOUT THE CHARLIE CART PROJECT
The Charlie Cart Project is a non-profit organization providing a turnkey
nutrition education program for schools and other organizations. The program
includes tools, lessons, training, and a compact mobile kitchen on wheels,
designed to help kids develop healthy eating habits for a lifetime. The
Project’s K-5 curriculum is aligned to Common Core and Next Generation Science
Standards, and provides a strong foundation of cooking skills, in addition to
an understanding of the connections between food, health and the environment.
Launched in 2016, the Charlie Cart Project is now active in 40 programs across
17 states.

The Charlie Cart Project seeks an Operations Manager to help take this program
to scale. The Operations Manager will report directly to the Executive
Director and have a role in building the organization and developing core
organizational strategies.

Operations Manager at The Charlie Cart Project

Reporting to the Executive Director (ED) and serving as a member of the
Management Team, this position's primary responsibility is ensuring
organizational effectiveness by providing leadership for the organization's
operational functions.  Working with the Director and Board of Directors, the
position also contributes to the development and implementation of
organizational strategies, policies and practices.

General Responsibilities Include:
¥       Improve and manage manufacturing process for goods and services
produced by the Charlie Cart Project, including cart, kit of equipment,
curriculum and training.
¥       Oversee financial management, planning, systems and controls;
supervise and coordinate with Accountant and Bookkeeper as necessary
¥       Develop and manage Support Services (HR, IT and Finance), and ensure
communication between functions.
¥       Play a significant role in long-term planning, including development
of financial, sales and marketing strategies, and consult on matters related
to fundraising, tax and insurance, and business structure and growth.
¥       Supervise and coach administrative support including office manager


Specific Responsibilities Include:
Production
•       Vet manufacturers and other vendors (shippers, 3/4PL) as needed and
manage manufacturing relationships. Vendors include production, shipping, 3PL,
engineers.
•       Monitor performance and implement improvements.
•       Ensure quality of products through QC process.
•       Set up efficient sales systems, including invoicing, determine sales
cycle, identify marketing needs, collaborate with marketing staff/consultant.
•       Set up customer service system, including warranty management, parts
replacement program, and other systems as needed to support Charlie Cart sales
and programs.

Financial Management
¥       Together with Executive Director and bookkeeper, direct annual
budgeting and planning process for the organization's annual budget; Develop
and manage annual budget;
¥       Produce monthly and quarterly assessments and forecasts of
organization's financial performance against budget, financial and operational
goals. Oversee short and long-term financial and managerial reporting. Meet
regularly with Executive Director around fiscal planning.
¥       Develop long-range forecasts and maintain long-range financial plans;
develop projections and plans to manage cash flow.
¥       Together with Executive Director and Bookkeeper, develop financial
systems to ensure efficient and effective data capture around fundraising/
pledges, sales, billables and receivables.

Support Services
•       Monitor, manage and improve the efficiency of support services such as
IT, HR, Accounts and Finance.
•       Facilitate coordination and communication between support functions.
•       Plan the use of human resources.
•       Organize recruitment and placement of required staff.
•       Establish organizational structures.
•       Delegate tasks and accountabilities. Establish work schedules.
Supervise staff. Monitor and evaluate performance.

Sales, Marketing and Customer Service - Manage customer support. Support sales
and marketing activities.


Qualifications

¥       Experience in operations or supply chain/supporting a product
¥       High comfort level with start up environment, and with wearing many
hats.
¥       Motivated to pave new paths at the intersection of education, health,
and non profit
¥       Creative approach to problem solving; not afraid of obstacles
¥       At least 3 years experience in financial management/bookkeeping
¥       Excellent computer skills and high level of expertise in Excel.
Proficient in Word, Quickbooks
¥       Excellent communication skills both verbal and written; persuasive and
confident speaker
¥       Budget development and oversight experience
¥       Knowledge of tax and other compliance implications of non-profit
status a plus
¥       Strong, collaborative leader, able to work well with a diverse work
force and customer base; and able to delegate responsibilities effectively
