Dear All,

Please take notice that the EEA condominium Annual General Meeting for FY 23 is scheduled on Sunday, the 6th August 2023 at 10.30 am to be conducted in our premises as decided by our committee. Accordingly, I have enclosed herewith the following items:

1] Proposed Agenda for meeting; and
2] Proposed Budget for FY 23-24

A scanned copy of the Balance Sheet for FY 23 will be circulated separately to all members during next week. 

The committee requests all the members to participate actively and serve the purpose. Suggestions are welcome from all the members.

I request the Management Committee to add a point on agenda as under:
In view of sharply rising electricity bills every year, I propose that we should install Rooftop solar for common power connections. There is government subsidy also for this purpose, apart from the savings in electricity charges.

Dear Mr. Umbarge,
I welcome your suggestion. It's beneficial to all of us. Even individual members also can be benefited with appropriate solar installations. I had tried it about 13-14 years ago. But the response was poor. Main hurdle is that the builder has illegally sold entire terrace to top 2 flatowners. We came to know this in 2013-14 only. 
Today, I learnt that the entrance door to terrace is also locked by top floor members. The keys are not available when needed, as experienced by me thrice while the Interne company’s technician is required to go to terrace for inspection and repairs. We need to address this problem by convincing the owners at the 6th floor.

It’s very bad news for me as new member of society apartment 

I think it’s legal matter n we should take advice of Legal advice from expert on this matter, because plan sanctions is very important role in this case , so let’s see n take advice of legal expert.

Pradeep,
I have gone through the Budget proposed and wanted to know the rules based on which we have decided whether charges under a particular head are to be calculated on per square feet basis or per flat basis. 

Can you share any link or document regarding the same ?

Information on the Internet suggests that Service charges are to be borne equally (per flat basis) and Repair and Maintenance on (per sq ft basis). 
Below is excerpt from 

1. Service charges

These include any charges incurred to acquire services and amenities, including but not limited to electricity for common areas, watchmen, lift operators, cleaning crew, and gardeners. Service charges are borne equally by all members.


Service/Maintenance Fees- These fees are also called basic maintenance fees and are levied by cooperative housing societies for procuring multiple services. These are usually imposed on the per flat basis and individuals who own more than a single apartment in a society will have to pay these charges likewise. The amount collected under this head will be used for payment of salaries of personnel in the society office, administrative and technical staff members, etc. Other administrative expenditure covering auditing, stationary, phone and electricity bills for common areas will be paid through realization of these charges.

Pradeep,

I looked at the MoM of AGM of 2021 and the mention is as follows:

8. The issue of charging maintenance charges as per area of each flat, based on the recent government / court decision, was deferred. It was decided that these charges will be continued to be contributed as per existing method.

The MOM of AGM of 2022 also does not mention any details about the same though we have adopted maintenance charges as per area of flat.

Request you to add an agenda item to the forthcoming AGM so that we can document decisions for future reference.
